Staffing Coordinator Full-Time: .8-1.0 FTE (64-80 hours per pay period) Days/Evenings Offsite INTERNAL POSTING THROUGH: 9/18/2026 JOB SUMMARY: This position has responsibility for completion of personnel schedules for hospital nursing and nursing support staff. Working with nursing leadership, adjusts staffing on a daily basis according to projected needs. Manage all staff schedule’s including vacation and time off requests.

Requirements

Basic computer skills in Microsoft Office (Outlook, Word and Excel). Must pass basic Excel competency test.
Demonstrated ability to apply complex union contract language in scheduling decisions.
Excellent verbal and written communication and organizational skills.
Ability to learn and use Grand Itasca’s time management tracking software, (i.e Kronos).
Ability and interest to work in a dynamic, potentially stressful environment.
Demonstrated ability to follow and adhere to Grand Itasca Clinic and Hospital policies, vision, mission and values.
Maintains reliable and consistent attendance.

Nice To Haves

Previous experience with union contracts and scheduling preferred.

Responsibilities

Adjusts staffing daily in accordance with projected needs.
Effectively manages unanticipated changes in the schedule (LOAs, transfers, resignations, ill calls, etc.).
Reacts proactively to projected changing staffing needs using creative problem solving.
Prepares period schedules for all skill levels in accordance with legal, contractual and hospital guidelines.
Processes requests for time off working with nurse managers and makes schedule changes as needed.
Establishes and updates electronic schedule templates and keeps shared files up to date.
Accountable for schedule posting deadlines.
Prepares daily staffing sheets.
Develops expertise in computer software and programs relevant to staffing and scheduling.
Maintains nursing and nursing support staff attendance records.
With nurse managers, identifies problems and implements improvements in the scheduling, staffing process.
Prepares standard and requested reports.
Maintains scheduling, staffing records.
Prioritizes and problem solves scheduling and daily staffing for each unit to provide adequate staffing coverage.
Perform other related duties as required. This list is not all-inclusive and any other task or job may be assigned in the future.
