About The Position

The Staffing Coordinator plays a vital role in ensuring our patients’ homes are staffed with nurses and caregivers, according to the patients’ approved hours and plan of care. This position involves identifying staffing needs, creating schedules that meet those needs, and partnering with human resources and case management to ensure vacancies are filled. This position also requires the ability to work in a fast-paced environment while maintaining warm relations and dealing with multiple levels of health care workers. The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. May involve commuting locally for occasional home visits, as needed.

Requirements

  • Experience with MS Office products required
  • Knowledge of staffing policies, procedures, and best practices
  • Outstanding organizational skills: ability to multitask, prioritize, and adhere to deadlines
  • Key competencies include communication (both written and verbal), critical thinking, problem-solving, detail oriented, organization, prioritization, adaptability, collaboration, and teamwork.
  • You must pass a cognitive assessment to be considered for this position
  • Experience in customer service or previous administrative duties.
  • Can quickly learn and use various computer programs and applications
  • Understands and has been involved with maintaining confidentiality and compliance enforcement

Nice To Haves

  • Healthcare staffing or scheduling coordination experience preferred
  • Associate degree in relevant field OR have relevant job experience and knowledge base

Responsibilities

  • Identify staffing needs and vacancies due to call outs
  • Understand plan of care for new patients
  • Determine any changes in acuity and/or to the original Plan of Care for existing patients
  • Create a staffing plan and collaborate with other departments to fill staffing vacancies
  • Utilize existing resources (1099 pool, PRN, differentials) to meet demand
  • Engage and collaborate with HR for onboarding new contractors
  • Schedule and conduct orientation training for new contractors
  • Create schedules and send shift confirmations
  • Track and audit schedules to ensure caregiver is compliant
  • Conduct routine patient calls to determine patient satisfaction and identify any gaps in care
  • Adhere to HIPAA, federal, and state guidelines regarding the protection of patient health information
  • Participate in an on-call rotation to ensure 24/7 support coverage for critical systems and services
  • Coordinate with members of the Care Team and Caregivers
  • Answering phone calls, greeting visitors, and maintaining office space and supplies
  • Managing and storing physical and electronic documents for patients and contractors
  • Tracking certification and training documents using programs such as Microsoft Office, Adobe, and Sharepoint
  • Collecting and maintaining state required clinical and non-clinical documentation
  • Managing office calendars and scheduling patient appointments
  • General office tasks as needed
