About The Position

Administrative Coordinator – Staffing & Personal Care located in Madison, WI Interim HealthCare is seeking a highly organized and dependable Administrative Coordinator to support our Staffing and Personal Care operations. This role is essential to ensuring our caregivers and clients are supported through accurate scheduling coordination, credential tracking, and administrative support. This is a non-supervisory, administrative position focused on supporting operational workflows, maintaining compliance records, and assisting leadership with day-to-day office functions. This position does not make independent staffing, clinical, or operational decisions. Requirements

  • High school diploma or equivalent
  • Minimum two (2) years of administrative experience
  • Strong organizational skills and attention to detail
  • Ability to manage multiple priorities and deadlines
  • Strong communication skills with both clinical and non-clinical staff
  • Ability to maintain accurate and compliant records
  • Professional handling of confidential information
  • Proficiency with office software and administrative systems

Nice To Haves

  • Experience in healthcare, home care, or healthcare staffing
  • Experience supporting scheduling, credentialing, or employee records
  • Experience working in a fast-paced, multi-location environment

Responsibilities

  • Assist with scheduling coordination for caregivers and clinical staff across Staffing and Personal Care services under leadership direction
  • Maintain accurate employee credentialing records including licenses, certifications, health requirements, and background checks
  • Support onboarding processes including application processing, orientation scheduling, and personnel file setup
  • Track credential expirations and notify leadership of upcoming renewals or compliance issues
  • Maintain employee and client records in company systems with accuracy and timeliness
  • Assist with coordinating staff training, in-services, and education tracking
  • Perform general administrative duties including data entry, document management, filing, and communication support
  • Support operational workflows to ensure efficient and compliant service delivery
  • Respond to administrative inquiries from staff and clients and escalate concerns to leadership as appropriate
  • Maintain strict confidentiality in accordance with HIPAA and company policies
  • Assist with additional administrative tasks as assigned
