Requirements

  • High School Diploma or equivalent.
  • 2-years experience in responsible administrative work.
  • Must possess a valid State of Florida Driver’s License.
  • Ability to create Excel spreadsheets.
  • Ability to learn HTE system.
  • Ability to work proficiently with the Internet and computer software programs to handle correspondence and to provide reports and presentations. These programs include Publisher, Excel, PowerPoint, Word, Access, Outlook Express, and Quicken.
  • Knowledge of scanning software and equipment in order to use clip art, photos, images and other sources using appropriate software applications.
  • Knowledge of English grammar, spelling and punctuation.
  • Knowledge of modern office methods, equipment and procedures.
  • Ability to communicate effectively, both orally and in writing.
  • Ability to establish and maintain effective working relationships with the general public, co-workers and supervisors.

Responsibilities

  • Assist with answering telephones and greeting office visitors, determines nature of call, answers questions and/or directs caller to appropriate person or department.
  • Reviews and verifies incoming and outgoing documentation for completeness, accuracy and compliance with established policies and procedures.
  • Composes correspondence as requested including memos and letters.
  • Maintains payroll records, time sheets and sick leave records.
  • Codes pay and time sheets according to the system in operation.
  • Generate/compile materials for meetings.
  • Checks and maintains office equipment in good working order.
  • Correspond with IT and submit work requests.
  • Assist with submitting work orders for the department.
  • Attends department staff meetings.
  • Performs related work as required.
  • During emergencies, all employees are considered essential personnel and may be required to perform alternate duties.
