About The Position

We are seeking a detail-oriented and adaptable Staff Accountant / Office Administrator to join our Chicago office. This is a unique hybrid role that blends core accounting responsibilities with operational and administrative support functions. The right candidate will be a self-starter who thrives in an independent work environment, as much of our team is distributed remotely across the country. You will serve as the essential on-site anchor for our operations, ensuring day-to-day financial and office functions run smoothly.

Requirements

  • Bachelor’s degree in accounting, Finance, Business Administration, or related field is preferred.
  • Minimum 2 years of office experience, preferably with accounting or finance exposure
  • Strong proficiency in Microsoft Excel and Microsoft Office Suite
  • Solid understanding of basic accounting principles (debits, credits, reconciliations)
  • Excellent organizational skills and attention to detail
  • Ability to work independently with minimal day-to-day supervision
  • Professional, reliable, and comfortable being the primary in-office presence for a remote-first company
  • Strong communication skills and comfort with remote collaboration tools (email, teams, etc.) are essential

Nice To Haves

  • Experience with payroll processing or payroll software. Paylocity’s platform knowledge is a big plus.
  • Familiarity with QuickBooks.
  • Experience with basic onboarding processes of new hires.

Responsibilities

  • Assist the Senior Accountant with day-to-day accounting operations, including general ledger entries, account reconciliations, and month-end close activities
  • Process accounts payable and accounts receivable transactions accurately and on time
  • Support financial reporting, variance analysis, and audit preparation as directed
  • Assist with payroll administrative tasks, including data entry, expense review, and coordination with payroll provider.
  • Maintain organized and compliant financial records and documentation
  • Manage new hire laptop deployment with the I.T. technician and shipping/coordination with remote staff.
  • Serve as the first point of contact for basic in-office technology needs and vendor coordination
  • Maintain inventory of IT equipment and office supplies with our I.T. vendor.
  • Perform general office management duties
  • Coordinate mail, deliveries, and vendor relationships as needed
  • Assist with onboarding logistics for new employees; we expect to hire 10 in the coming year.
  • Support leadership and remote team members with ad hoc administrative requests
