Reporting directly to the COO, the Sr. Middle Office Analyst is responsible for the accuracy, timeliness, and control execution of core investment operations processes including trade confirmations, cash/position/transaction reconciliations, reporting reconciliations, billing support, and operational finance routines (cash flow tracking, budget monitoring support, and vendor/invoice coordination). This is a hands-on execution and analysis role (non-managerial) with high visibility across Portfolio Management, Client Service, Finance, and Compliance. The ideal candidate is detail-oriented, process-driven, and experienced in working with custodians and portfolio reporting systems. This role embraces the following duties and responsibilities:

Requirements

  • 5+ years’ experience in investment operations / middle office / RIA operations, asset management operations, or similar financial services environment.
  • Strong working knowledge of: o Trade lifecycle (allocation, confirmation, settlement) o Custodian reconciliations (cash/positions/transactions) o Operational controls and exception management
  • Advanced Excel skills (e.g., pivot tables, XLOOKUP/INDEX-MATCH, reconciliation logic); ability to work with large datasets.
  • Proven ability to manage multiple recurring deadlines (daily/weekly/monthly cycles) with high accuracy.
  • Strong analytical and troubleshooting skills; able to investigate variances and document resolution clearly.
  • Excellent communication skills and comfort interacting with custodians, vendors, and internal stakeholders.
  • Preparing documents and presentations.
  • Availability to work in-office from 9 AM to 6 PM.
  • College degree.
  • Minimum of 5 years of professional experience in a similar role.
  • Fluency in English and Portuguese; Spanish is a plus.
  • Excellent interpersonal, communication, and presentation skills.
  • Strong organizational skills, meticulous attention to detail, and ability to set priorities.

  • Experience with Practifi (Salesforce) and Addepar is a plus.

Responsibilities

  • Perform trade verification and trade confirmation processes across custodians/brokers and internal systems.
  • Monitor trade settlement status and resolve exceptions (failed trades, allocation discrepancies, incorrect booking, etc.).
  • Support trade-related lifecycle events including corporate actions, dividend and interest validation, and transaction clean-up.
  • Coordinate with internal stakeholders and external partners (custodians, brokers, OMS/PMS vendors) to resolve operational issues.
  • Conduct daily and periodic cash, position, and transaction reconciliations between custodians, portfolio accounting/reporting systems, and internal records.
  • Perform report reconciliations (performance, holdings, transactions, AUM) and investigate variance drivers.
  • Maintain reconciliation logs, exception trackers, and evidence packages to support internal controls, audits, and compliance reviews.
  • Ensure operational tasks follow documented SOPs; recommend improvements where gaps exist.
  • Operating and maintaining core business systems such as Addepar (a data aggregation and reporting system) and Practifi – Sales force
  • Support the end-to-end management fee billing cycle: o Validate AUM and fee bases o Ensure accuracy of fee schedules o Assist with invoice generation and review o Reconcile billed amounts and investigate variances
  • Partner with client service and finance teams to resolve client billing questions or corrections promptly.
  • Support cash flow tracking (inflows/outflows, expected receipts, recurring expenses) and provide weekly/monthly summaries.
  • Assist with budget monitoring through variance analysis and spend tracking (does not require budget ownership).
  • Coordinate and validate vendor invoices and operational expenses; support AP/AR processing with external bookkeepers/accountants as applicable.
  • Prepare data packages and schedules for month-end routines, external accounting, and leadership reporting.
  • Document, maintain, and improve middle office workflows, checklists, and SOPs.
  • Identify recurring reconciliation breaks and propose root-cause fixes (automation, data hygiene, workflow redesign).
  • Participate in system enhancements, custodian transitions, reporting tool upgrades, and operational projects.
  • Serve as a key liaison between portfolio management, client service, finance/accounting, and compliance teams to ensure operational integrity.
  • Support internal compliance routines through accurate recordkeeping, evidence gathering, and timely reporting related to operational controls (as applicable).
