About The Position

The University of Miami/UHealth Department of Medicine has an exciting opportunity for a Full-Time Sr Manager, Sponsored Programs to work in the UHealth Campus. The Sr Manager, Sponsored Programs oversees a large-sized unit with a well-defined and highly complex grants, contracts and clinical trial research portfolio aligned to the Department of Medicine, with over 20 Cost Centers/Divisions and 150 active researchers, with approximately $44 million of sponsored expenditures annually. Manages the portfolio – funding opportunities – pre-award – post award – reporting – forecasting and other grant related activities for Department of Medicine Faculty, including Division Chiefs and Division Administrators; coordinating review and approval within the DOM and various internal departments/divisions. Prepares projections for research grants and contracts for annual UM fiscal budget, detailing expenditures, projected balance and future funding; ensures expenditure compliance following institutional and sponsor guidelines.

Requirements

Bachelor’s degree in relevant field
Minimum 7 years of relevant experience
Knowledge of business and management principles.
Ability to direct, manage, implement, and evaluate department operations.
Ability to establish department goals, and objectives that support the strategic plan.
Ability to effectively plan, delegate and/or supervise the work of others.
Ability to lead, motivate, develop, and train others.

Responsibilities

Identifies potential donors or sources of funding and plans outreach strategies.
Participates in the development of grants applications and proposals.
Schedules and oversees planning for special events that publicize the organization and its programs to the community.
Trains, mentors, and supervises sponsored programs staff members, and prepares performance reports.
Negotiates contractual provisions with potential partners.
Develops and provides reports or documentation needed to secure and maintain funding and grants.
Ensures that grants and contracts adhere to organizational standards.
Acts as department expert and primary point of contact on funding issues and disput
Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures.
Ensures employees are trained on controls within the function and on University policy and procedures.
Oversee the large, complex, and highly diversified research portfolio of the Division of Endo-Diabetes, including proposal development and post-award management, while providing high-level financial and administrative oversight of a $21M+ portfolio and ensuring that all 20+ active awards comply with federal Uniform Guidance and specific sponsor terms.
Engineer sophisticated fiscal projections for research expenditures totaling $4M+ annually; present data-driven viability reports to Division Chiefs and Principal Investigators (PIs) to inform long-term strategic planning.
Serve as the primary departmental contact for internal and external audits; manage meticulous reconciliation processes and maintain comprehensive documentation to safeguard against audit disallowances.
Lead the comprehensive award closeout process, including final financial reporting, clearing outstanding encumbrances, and resolving complex subrecipient monitoring issues.
Direct the quarterly effort reporting and certification process for all research faculty and staff; proactively identify funding gaps and manage salary distributions to ensure 100% compliance with institutional and federal regulations.
Coordinate and submit complex prior approval requests to sponsors, including no-cost extensions (NCEs), carryover requests, rebudgeting, and changes in scope.
Oversee the financial performance of subrecipients, reviewing invoices for allowability and performance metrics to ensure sub-award terms are met.
Act as the primary financial advisor to PIs, conducting regular portfolio reviews to analyze burn rates, manage non-personnel expenses, and ensure proper allocation of resources across multiple funding sources.
Leverage post-award expertise to assist the pre-award team in developing complex budgets that facilitate seamless post-award implementation and financial monitoring.
