Requirements

  • Minimum 4–6 years of experience in Human Resources, HR operations, onboarding, employee support, or a related administrative or operational function.
  • Working knowledge of HR operations, onboarding, relocation coordination, contingent workforce processes, employee documentation, and related compliance requirements.
  • Ability to coordinate assigned HR operational processes, timelines, and deliverables with minimal guidance while escalating complex or sensitive issues appropriately.
  • Strong customer service and employee support skills, including the ability to respond to questions, resolve routine issues, and support a positive employee and candidate experience.
  • Ability to coordinate effectively with cross-functional partners, including HR, hiring managers, IT, Security, Facilities, Finance, Procurement, and external vendors.
  • Strong attention to detail with a commitment to data accuracy, documentation quality, confidentiality, compliance, and audit readiness.
  • Strong organizational and follow-through skills with the ability to manage multiple priorities, deadlines, and recurring administrative processes in a fast-paced environment.
  • Effective written and verbal communication skills, including the ability to explain HR processes clearly and maintain employee-facing resources, job aids, and process documentation.
  • Proficiency in Microsoft Office Suite, SharePoint, HRIS, and related HR or vendor management systems, with the ability to quickly learn new tools and technologies.

Responsibilities

  • Serve as a key HR point of contact and resource for coordinating employee onboarding from pre-employment activities, including background checks, start-date communication, and document collection, through onboarding tasks such as I-9 verification, badge creation, system photo upload, and workflow completion.
  • Track onboarding readiness items, follow up on pending actions, resolve routine onboarding questions or issues, and escalate complex or sensitive matters as appropriate.
  • Coordinate onboarding handoffs across Irvine, Dallas, and Atlanta locations by partnering with hiring managers, Executive Assistants, IT, Security, Facilities, and other internal teams to support workspace setup, equipment delivery, system access, IT setup, and Day One readiness.
  • Assist with and serve as a backup for new hire orientation facilitation, including coordinating logistics and supporting a consistent, welcoming introduction to HCA.
  • Monitor onboarding activities and collect feedback to help identify practical improvements to the employee onboarding experience.
  • Coordinate relocation-related onboarding support by serving as a day-to-day liaison between relocating candidates, employees, hiring managers, and relocation vendors; track related activities, respond to routine questions, and escalate issues as needed.
  • Serve as a key HR resource for coordinating contingent workforce pre-onboarding, onboarding, and offboarding activities with internal stakeholders and external partners.
  • Process system profile setup and help ensure required contingent worker information, documentation, and access-related steps are completed accurately and timely.
  • Coordinate onboarding handoffs across Irvine, Dallas, and Atlanta locations by partnering with hiring managers and Executive Administration to support equipment provisioning, system access, workspace setup, and Day One readiness.
  • Track readiness items, follow up on pending actions, resolve routine onboarding or offboarding issues, and escalate complex matters as appropriate.
  • Monitor contingent workforce onboarding and offboarding activities and collect feedback to support consistency, process accuracy, and practical workflow improvements.
  • Assist with creating and updating training materials, employee communications, onboarding resources, and HR process documentation.
  • Administer assigned HR operational processes, including invoice coordination, vendor payment initiation, month-end accrual support, audit support, reporting, compliance tracking, and administrative support across the HR function.
  • Maintain and update HR policies, procedures, job aids, process documentation, employee-facing resources, and HR SharePoint content to help ensure information is accurate, current, and aligned with established processes.
  • Track and report volunteer time off activity while supporting employee engagement, community involvement, and HR initiatives that enhance the employee experience.
  • Review HR records, documentation, and recurring processes for accuracy, completeness, and compliance with company policies and regulatory requirements; identify discrepancies and recommend practical improvements to strengthen efficiency, consistency, and audit readiness.
