Sr Executive Assistants

The Hire Standard•Cambridge, MA

About The Position

Our client, a fast-growing venture-stage technology company working at the frontier of AI, is hiring four senior executive assistants, each paired with a group lead. The role is positioned as strategic executive support: learn the lead’s function, understand the team’s work and priorities, and build systems that keep work moving. Over time, more day-to-day responsibilities will shift from the lead to the assistant. The role may also involve managing relationships with customers and partners. The executive assistant works directly with their group lead. A support staff lead coordinates and plans work across the executive support team, whose members share work, provide backup, and support one another’s learning. The position involves frequent business travel, often on short notice, mostly to the West Coast and sometimes across several cities.

Requirements

  • Several years of experience supporting senior leaders.
  • Curiosity about the group lead’s work and ability to turn that understanding into practical recommendations.
  • Good judgment in making priority decisions on behalf of the group lead and ability to switch contexts quickly.
  • A hospitality mindset, including anticipating needs, thinking ahead, and handling difficult moments warmly.
  • Openness to learning and feedback, willingness to take on unfamiliar work, ask clarifying questions early, and seek help when needed.
  • Comfort with frequent travel, sometimes at the last minute.

Nice To Haves

  • Experience supporting leaders at a startup or fast-growing company.
  • Experience managing relationships with customers, partners, or other outside stakeholders.
  • Background in hospitality, restaurants, events, or theater.

Responsibilities

  • Draft meeting agendas, capture notes, and collect and prioritize action items.
  • Build systems for new and recurring work so the group lead can track tasks and larger priorities.
  • Attend meetings to learn the group’s work and stay informed about its progress.
  • Serve as the main contact for internal and external scheduling.
  • Recommend ways the group lead can use time more effectively, including calendar structure and shared calendar agreements.
  • Help the group lead balance personal and work commitments.
  • Manage and triage the group lead’s inbox daily using clear systems for incoming and outgoing messages.
  • Maintain clear trackers so priorities can change quickly.
  • Plan business trips end to end, including itineraries, accommodations, flights, meals, and appointments.
  • Travel with the group lead to provide on-the-ground support, mostly on the West Coast, often on short notice and across several cities.
  • Attend customer and partner meetings, prepare agendas and materials, and track follow-ups.
  • Help manage outside relationships with customers and partners where relevant.
