About The Position

The Sr Executive Assistant to the SVP Action Figures & Entertainment Partnerships provides high-level administrative and operational support in a fast-paced, franchise-driven environment at the intersection of action figure product development and global entertainment partnerships. This role requires exceptional organizational, communication, and multitasking skills to manage complex scheduling, stakeholder coordination, event logistics, and confidential materials across the Action Figures and Entertainment Partnerships teams. Anticipate priorities and proactively manage scheduling and communications to optimize the SVP’s effectiveness across internal leadership and external partners. Manage a complex, high-priority calendar, including senior leadership and partner-facing engagements. Schedule recurring meetings with department heads, executive leadership, and external partners. Coordinate meetings with external entertainment partners, including studios, licensors, and global franchise stakeholders. Coordinate extensive domestic and international travel arrangements, including logistics and itineraries. Handle phone and correspondence management on behalf of the SVP. Prepare and process expense reports and department budgets. Draft, edit, and coordinate presentation decks for internal and external audiences (e.g., brand and franchise updates across key IP [e.g., entertainment partnerships, licensed properties, and Mattel-owned brands]). Liaise with cross-functional teams across Product, Franchise Marketing, Licensing, and Global Entertainment to ensure alignment on priorities, messaging, and deliverables. Support materials and communications for key external partners (e.g., studio reviews, licensing partners, franchise stakeholders). Support meeting/event scheduling, prep materials, and coordination of logistics as needed. Coordinate logistics for high-profile industry events, partner meetings, and franchise moments (e.g., conventions, partner summits, and executive presentations). Support onboarding of new team members and liaise with People & Culture, Facilities, and IT. Manage vendor setup and payments through COUPA as needed. Handle highly confidential information, including unreleased product plans, franchise strategies, and partner agreements.

Requirements

  • Minimum 5+ years of experience supporting senior executives in entertainment or related industries.
  • Strong knowledge of the entertainment and licensing landscape, including key studios, IP holders, and franchise ecosystem.
  • Advanced proficiency in Microsoft Office, Google Workspace, and presentation design tools.
  • Excellent organizational, written, and interpersonal skills.
  • Ability to manage competing priorities under pressure with professionalism and discretion.
  • Flexible schedule to accommodate shifting deadlines and event needs.
  • Demonstrated a growth mindset by staying curious and continuously learning, embracing challenges, and improving themselves.
