About The Position

The Senior Coordinator, Construction Administration in Apartment Communities Capital Projects is responsible for contracts, construction administration, and coordination with outside vendors and contractors. The individual is expected to bring foundational experience in project budgeting and vendor pay applications and will develop deep expertise in internal budget-to-contract alignment and pay application processes. This role requires the use of independent judgment for tracking project costs and ensuring process adherence and quality control of project documentation.

Requirements

  • Strong verbal and written communication skills to interact effectively with all levels of the organization and external vendors.
  • Highly organized and meticulous, with a proven record of accomplishment of accurate data entry and document review.
  • Excellent problem-solving skills with an ability to analyze data and system issues to drive resolution.

Nice To Haves

  • Experience with Coupa, SAP, or CRA is a plus.
  • Bachelor's Degree (or equivalent experience)
  • 3 - 5 years.

Responsibilities

  • Enters and manages all financial commitments into the financial systems to align with the capital projects business plan.
  • Drafts and prepares key legal contract documents using the SharePoint and Coupa systems, ensuring compliance with pricing and internal coding standards.
  • Administers and maintains the cloud-based documentation and storage program, ensuring all project records are compliant with departmental protocol.
  • Reviews vendor Certificates of Insurance (COIs) to identify deficiencies; coordinates with vendors to resolve compliance gaps; and liaises with the internal repository for reporting.
  • Reinforces and monitors cost accountability and financial rigor among internal teams ( Apartment Communities Capital Projects) and external stakeholders (general contractors, vendors, etc.).
  • Performs quality control reviews of Schedule of Values, Scopes of Work, and other construction documents to maintain accuracy.
  • Monitors and audits process adherence by key stakeholders in the Capital Projects team, ensuring implementation of departmental best practices.
