About The Position

We are seeking a detail-oriented Construction Finance Administrator to join our team. This is a critical role designed to offload financial tracking and budget management from our Project Managers. The ideal candidate will act as the financial backbone for our projects, ensuring that every dollar spent is tracked, coded, and reported accurately against line-item budgets. You will be responsible for the full lifecycle of project financials—from subcontractor contract administration and AIA pay applications to complex job costing and WIP reporting.

Requirements

  • Proven experience in Construction Administration or Construction Finance is .
  • QuickBooks: Required.
  • Advanced Excel: Non-negotiable (must be comfortable with complex spreadsheets and data analysis).
  • Google Drive: Proficient in cloud-based file organization.
  • Deep understanding of AIA Contracts , pay applications, and Job Costing principles.
  • Critical Thinking: Ability to review documentation for accuracy and completeness without constant supervision.
  • Communication: Exceptional written and verbal communication skills; comfortable working in a 100% remote environment.

Responsibilities

  • Contract & Compliance Administration: Prepare and submit subcontractor and client contracts for review and execution. Collect and verify compliance documents, including W-9s and Certificates of Insurance (COIs). Ensure all documentation is complete and filed within Google Drive before payments are processed. Manage change order documentation, tracking, and execution.
  • Pay Applications & Cost Control: Review and process subcontractor pay applications with a focus on AIA-contracted work . Validate Schedules of Values (SOVs) against contract scopes and budgets. Collect and reconcile vendor invoices, supplier statements, and credit card expenses. Accurately code and allocate all expenses to the correct project and cost code within the accounting system.
  • Job Costing, Forecasting & Reporting Budget vs. Actuals: Perform rigorous job costing to track labor, materials, and subcontractor spend. Financial Projections: Assist in developing Cost-to-Complete (CTC) and Estimate-at-Completion (EAC) reports. WIP Reporting: Support Work-in-Progress reporting to ensure accurate revenue recognition and margin tracking. Identify and report cost variances to ownership and project management.
  • Project Documentation & RFIs: Prepare, submit, and track RFIs, submittals, and change orders. Maintain accurate logs for all project correspondence (ASIs, Notices, Clarifications). Prepare meeting agendas, minutes, and action-item logs to ensure project momentum.
