About The Position

Community Support Services (CSS) transforms lives and community by supporting veterans, ending homelessness, treating substance use, and preventing and intervening in community and domestic violence. As a department in Mecklenburg County’s Health and Human Services Agency, CSS maximizes community partnerships and collaborative opportunities to improve access to services and advocate for the needs of special populations. Position Specific Information A Home For All (AHFA) is a community-wide initiative addressing the full continuum of housing needs, including homelessness response, prevention, and housing stability, to ensure individuals and families have access to safe and sustainable housing. This position provides senior-level administrative and operational support to AHFA program staff, and collaborative partners. Core responsibilities include reviewing and processing invoices; coordinating and scheduling internal and community meetings; preparing and distributing agendas and meeting materials; and accurately capturing meeting minutes and action items. The Senior Administrative Support Assistant role also provides backup support to existing administrative staff and assists with coordination across multiple partners, including public agencies, nonprofit service providers, funders, and advisory bodies. The position plays a key role in supporting efficient operations, communication, and documentation across AHFA initiatives and governance structures. Housing Innovation & Stabilization Services (HISS) Division of Community Support Services provides leadership, guidance, and services to the community as it relates to the homeless response system, which includes housing stability for vulnerable populations. This work is completed by making data-driven decisions, implementing and monitoring of best and promising practices, and providing direct services. This position is full time onsite at 3205 Freedom Drive, Charlotte, NC 28208. Typical work hours are Monday – Friday from 8:00 AM to 5:00 PM, with flexibility required for meetings, etc. Position Summary Perform progressively responsible administrative, clerical, and technical work. This position, under minimal supervision, is responsible for advanced administrative functions of variety and specialization in a department.

Requirements

  • Minimum of four years of administrative experience
  • High School Diploma or equivalent
  • May require a valid North Carolina or South Carolina Driver's License
  • May require County Driving Privileges
  • Knowledge of Administrative and clerical procedures and systems using various computer operations, managing files and records

Responsibilities

  • Provide administrative support to internal departmental staff
  • Respond to inquiries and resolves administrative issues that may arise
  • Prepare written correspondence such as memos, emails, presentations, forms, and other documents
  • Coordinate meetings, interviews and assist with program preparation
  • Prepare, develop or maintain reports, manuals, or interview documents
  • Conducts moderately complex research.
  • Perform confidential data entry, create, organize and maintain files
  • Maintain supply levels and ordering stock
  • Use computers for various operations such as database management
  • Answer telephone or greet visitors and handle or direct inquiries to the appropriate persons according to the need/issue presented
  • Operate office equipment: fax machines, copiers, or phone systems and arrange for repairs when equipment malfunctions
  • Set up and manage paper or electronic filing systems, recording information, updating paperwork, or maintaining documents, such as correspondence, or other material
  • Compose, type, and distribute meeting notes, agendas, routine correspondence, or reports, such as presentations or expense, statistical, or monthly reports
  • Some positions may be required to provide general guidance and direction to lower-level staff.
