About The Position

The Senior Administrative Coordinator serves as a key link between the office and the warehouse floor, combining administrative leadership with hands-on operational coordination. This role coordinates the daily activities of warehouse forklift drivers and material handlers, ensuring safe, efficient, and well-documented warehouse operations, while also managing the purchasing of materials, supplies, and equipment needed to support the business. The ideal candidate is organized, detail-oriented, and comfortable moving between office-based administrative work and active coordination on the warehouse floor.

Requirements

  • 3+ years of administrative, coordination, or operations experience, including experience coordinating the work of other staff.
  • Prior experience in a warehouse, distribution, or logistics environment strongly preferred.
  • Demonstrated experience with purchasing, procurement, or vendor management.
  • Working knowledge of forklift safety standards and warehouse operations (certification not required to hold the role, but familiarity with OSHA forklift regulations is expected).
  • Proficiency in Microsoft Office (Excel, Word, Outlook) and experience with inventory or purchasing software (e.g., QuickBooks, NetSuite, or similar ERP/procurement systems).
  • Strong organizational, leadership, and communication skills.
  • Ability to manage competing priorities across office and warehouse settings.
  • Ensure consistent, dependable attendance and demonstrate a willingness to accommodate non-standard work hours as necessary.
  • Capable of effectively managing job-related stress and fostering productive workplace interactions.

  • Associate's or bachelor’s degree in business administration, Supply Chain, or related field preferred.

Responsibilities

  • Coordinate daily schedules and task assignments for warehouse forklift drivers and material handlers, including shift coverage and workload balancing.
  • Track forklift operator certifications and ensure all drivers maintain current, valid licenses and required safety training.
  • Coordinate onboarding and training logistics for warehouse staff, partnering with management on performance matters as needed.
  • Monitor adherence to warehouse safety protocols, OSHA compliance standards, and proper equipment handling procedures, escalating issues to management.
  • Serve as the day-to-day point of contact for scheduling conflicts or operational concerns among warehouse staff, escalating performance issues to management as needed.
  • Coordinate daily workflow between the warehouse team and other departments to ensure timely receiving, put-away, and order fulfillment.
  • Source, order, and track materials, supplies, and equipment needed for daily business operations.
  • Build and maintain relationships with vendors and suppliers; negotiate pricing, terms, and delivery schedules.
  • Monitor inventory levels and reorder points to prevent stockouts or overstock situations.
  • Process purchase orders, match invoices to receipts, and resolve discrepancies with vendors or accounts payable.
  • Compare vendor quotes and recommend cost-effective purchasing decisions in line with budget guidelines.
  • Maintain accurate purchasing records, vendor files, and material cost documentation.
  • Maintain accurate records related to staffing, attendance, safety compliance, and warehouse operations.
  • Prepare reports on inventory, purchasing spend, and warehouse team performance for management review.
  • Manage correspondence, filing systems, and documentation supporting both office and warehouse functions.
  • Support budgeting and cost-tracking efforts related to materials, supplies, and warehouse operations.
  • Assist with other administrative and operational projects as assigned.
