About The Position

Vitalant is a non-profit blood and biotherapies healthcare organization that provides vital clinical services, products, and scientific research to communities nationwide, serving over 900 hospitals across the U.S. and hosting approximately 60,000 blood drives annually. The Sr. Admin Assistant role involves providing advanced administrative support, including preparing reports and statistical spreadsheets, assisting with non-routine projects, maintaining leadership calendars, coordinating travel and expense reconciliations, and managing logistics for activities and meetings. The position also requires composing confidential communications, maintaining records and file systems, performing data entry, handling mail distribution, managing department supplies, greeting guests, and screening individuals for appropriate staff members. This role is crucial for ensuring compliance with internal SOPs and external regulations and providing quality customer service.

Requirements

  • High school graduate or GED required.
  • Thorough working knowledge of standard office procedures and equipment required.
  • Five years related experience required.
  • Proficient with Microsoft Office (Word, Power Point, Excel, Outlook, Teams).
  • Must be highly organized and detail oriented; accurate and timely.
  • Must have excellent customer service and interpersonal skills.
  • Strong written and oral communication skills.
  • Proficient in office filing system.

Nice To Haves

  • Associate's degree preferred.
  • Notary Public preferred.

Responsibilities

  • Performs all assigned duties in compliance with internal SOPs and external regulations.
  • Brings compliance issues to the attention of management.
  • Assures quality customer service to all customers.
  • Provides advanced administrative support (e.g., preparing reports, statistical spreadsheets, and assists with non-routine projects).
  • Maintains assigned leadership calendars including day to day and on-going meetings, projects, and priorities.
  • Coordinates travel and prepares and tracks expense reconciliations for leaders.
  • Coordinates logistics of activities and meetings, to include set-up and audio-visual equipment and expense management.
  • Partners with other administrative support team members to achieve project and day to day deliverables and provide back up support as needed.
  • Composes routine and non-routine and highly confidential letters and communications.
  • Maintains records, as required.
  • Creates and maintains an organized file system electronically and hardcopy as necessary.
  • Performs data entry and retrieval of information using various software applications.
  • Coordinates incoming and outgoing distribution of mail, express mail/package services, inter-center mail, and/or other correspondence.
  • Maintains department supplies (e.g., forms, office supplies, etc.).
  • Receives and greets guests as applicable.
  • Screens and directs individuals to the appropriate staff member.
  • Assists with special projects, as needed.
  • Performs all other duties, at the discretion of management, as assigned.
