About The Position

Forum Asset Management is seeking a Specialist, Procurement & Operations to support procurement governance, vendor program coordination, and operational expense analysis across Forum’s property portfolio (32 buildings, approximately 11,000 beds), reporting to the VP, Real Estate Operations. Based in our Toronto office, this role will be a key member of the Real Estate Operations team and will contribute to maintaining procurement workflows, monitoring vendor performance, and providing analytical insight into operational spending. Working closely with portfolio leadership and the third-party property management partner, this role contributes to maintaining procurement workflows, monitoring vendor performance, and providing analytical insight into operational spending. This is a hands-on, analytical role within a lean structure, requiring strong attention to detail, independent problem-solving, and the ability to investigate operational and expense-related issues while supporting broader governance initiatives. The role is expected to constructively challenge findings and surface insights, with opportunity to expand scope based on capability and performance. Requirements

  • 3–5 years of experience in real estate operations, procurement, property management, or a related analytical role
  • Experience supporting multi-property or portfolio-level operations
  • Strong analytical capability with advanced Excel skills
  • Familiarity with property management systems (Entrata preferred)
  • Experience working with or alongside third-party property managers
  • Strong attention to detail and ability to independently investigate operational issues
  • Ability to communicate findings clearly and constructively challenge stakeholders

Nice To Haves

  • Experience within the Purpose-Built Student Accommodation (PBSA) sector
  • Exposure to procurement coordination, vendor programs, or contract compliance
  • Experience in operational reporting, expense analysis, or performance monitoring

Responsibilities

  • Support and coordinate procurement workflows and purchase order processes within Entrata; assist in maintaining governance standards, approval structures, and documentation requirements; monitor procurement activity for alignment with approved budgets; identify workflow gaps or inefficiencies and escalate where appropriate; investigate procurement-related issues and support resolution through structured analysis.
  • Support development and ongoing coordination of preferred vendor programs; track vendor utilization trends; maintain vendor governance standards including service expectations and documentation; review vendor documentation (contracts, insurance certificates, service agreements) for completeness; monitor contract timelines including renewals and expirations; escalate service concerns where appropriate.
  • Conduct analysis of operational expenses at property and portfolio levels; monitor spending against approved budgets and identify variances or anomalies; perform detailed investigation into high-volume or irregular expense activity; analyze spending patterns to identify cost drivers, inefficiencies, and operational risks; provide clear, structured insights to support leadership decision-making.
  • Develop and maintain reporting tools and dashboards related to procurement activity and operational spending; support tracking of KPIs related to procurement compliance, vendor performance, and expense trends; prepare recurring and ad hoc reports for leadership; assist in preparing materials for operational and quarterly business reviews.
  • Support documentation and standardization of procurement and operational processes; identify opportunities to improve workflows, tools, and reporting structures; assist in implementing process improvements across the portfolio; collaborate with cross-functional teams including Real Estate Technology & Operations.
  • Investigate operational issues related to procurement activity, expenses, and vendor compliance; analyze cause-and-effect relationships between procurement decisions and operational outcomes; engage with property management leadership and site teams to support issue resolution; provide structured insights and recommendations based on findings.
