About The Position

The Specialist, Preowned Inventory Management supports the daily operations of the Inventory Acquisition team, ensuring accurate Inventory Acquisition files, data, and reports are maintained. This role involves handling owner interactions via digital platforms and assisting with calls from owners looking to divest their timeshare interest. The ideal candidate will have a positive attitude, strong multitasking and communication skills, and a desire to sell, as this is a natural career advancement path.

Requirements

  • High school diploma / G.E.D. equivalent minimum.
  • Minimum one-year related IRM, Vacation Ownership or real estate experience is required.
  • A minimum of intermediate proficiency in all Microsoft Suites applications.
  • Proven ability to gather the required information to analyze trends and surface possible solutions.
  • Strong verbal and written communication skills.
  • Ability to explain complex ideas clearly and concisely in a manner appropriate to the audience.

Nice To Haves

  • College Degree preferred.
  • Experience in inventory management systems including SOLAR, Universe, DG Sun and TimeshareWare preferred.
  • Possession of a State real estate salesperson license for the respective state (e.g. Florida, California etc.) is preferred.

Responsibilities

  • Handles Owner Interactions via digital platforms: email, BOT management, DocuSign, and department webpages.
  • Processes inbound and outbound department mail.
  • Enters owner offers into database.
  • Performs steps of communications and data capturing related to proactive campaigns.
  • Prepares and emails/mails resale listing agreements.
  • Handles calls from Owners answering resale related questions.
  • Monitors email boxes/incoming forms for Ownership Exit Services, Call Pilot, Europe Resale, Resale Contracts and responds/forwards to appropriate Manager/associate.
  • Distributes voicemail/mail to appropriate Manager/associate.
  • Corresponds with clients in verbal and written form to ensure necessary documentation has been received and understood.
  • Scans, labels, files, and stores documents.
  • Performs Repurchase and other Reporting.
  • Performs audits and runs associated reports for the daily and weekly repurchase batches.
  • Assists with processing Right of First Refusals and resale contracts for all brands.
  • Contacts brokers and owners as necessary.
  • Updates appropriate systems.
  • Updates Bluebook registrations, listing data, pricing updates etc.
  • Updates close dates in Repurchase Databases.
  • Sends email campaigns as needed, including daily and weekly department surveys.
  • Updates reporting for Team Meeting.
  • Secures customer comment approval for use in testimonials.
  • Performs small to medium projects as well as ad hoc projects.
  • Acquires and maintains comprehensive working knowledge of all Ownership Exit Services business applications, including BOT functions and DocuSign.
  • Maintains confidentiality of proprietary materials and information.
  • Protects the privacy and security of customers and co-workers.
  • Follows company and department policies and procedures.
  • Researches questions and problems; refers complex issues to supervisor.
  • Protects company tools, equipment, machines, or other assets in accordance with company policies and procedures.

  • Effectively communicates primary Ownership Exit Services philosophies as they pertain to recommended strategies to property staff and other department stakeholders.

  • Utilizes and creates documents in excel, word, outlook, and other Microsoft applications.
  • Performs tasks using the applicable Inventory & Revenue Management software.
  • Transmits information or documents using mail, scanner, or facsimile machine.
  • Operates standard office equipment other than computers such as telephone, scanner, fax, photocopier, calculator, and electronic peripherals.
  • Keeps office equipment in working order and contacts service representatives to correct problems with office equipment, including following-up to ensure problem is corrected.
  • Maintains office areas (e.g., cubicles, storerooms, conference rooms, etc.), including calling housekeeping and maintenance when needed.
  • Enters and locates work-related information using computers and/or other methods.
  • Moves, lifts, carries, pushes, pulls, and places objects weighing less than or equal to 10 pounds without assistance.
  • Complies with quality assurance expectations and standards.
