About The Position

As a Portfolio Accounts Specialist, you will join Private Label, supporting the Zimmer portfolio, to provide advanced account support to our student, conventional, and affordable communities. Your primary responsibilities will include overseeing rent collection, issuing delinquency notices, responding to or sending inbound/ outbound phone, email, and SMS inquiries from residents or guarantors, and accounts payable. You will also operate in Elise AI platform and industry-leading property management systems. This role may be performed remotely or in Tallahassee, FL. Although your role may be remote and reports to the Portfolio Managers, you will work closely with the onsite team members to provide consistently excellent customer service to our future and current residential customers.

Requirements

  • High school diploma or GED equivalent is required
  • Maintains a consistent level of professional customer service.
  • Excellent written communication skills, especially short form for easily digestible with pointed, relevant information
  • Demonstrated ability to pay close attention to details and perform tasks with consistent accuracy
  • Ability to thrive in a fast-paced environment and manage multiple projects simultaneously.

Nice To Haves

  • 3 - 5 years of experience in property management
  • 1 - 2 years of experience with property-level accounting and resident account management
  • a bachelor’s degree preferred
  • Working knowledge of Yardi / Entrata is preferred.

Responsibilities

  • Manage the automated issuance of rent reminders and delinquency notices to residents at all assigned communities.
  • Initiate phone and email communications with delinquent residents and any co-applicants or guarantors.
  • Support future and current residents with ledger discrepancies and the posting/removal of charges at the direction of the Community or Portfolio Manager.
  • Provide resources for payment plans and rental assistance programs where applicable.
  • Issuance of move-out statements to vacating residents.
  • Processing of community accounts payable and accounts receivables, including the posting of all purchase orders and invoices for assigned communities.
  • Oversee the vendor credentialing process for new and unregistered vendor through our credentialing platform, OpsTechnology.
  • Submission of expense reclassifications and accruals as directed by property accounting team for monthly financial reporting.
  • Assist community teams with lease and charge audits.
  • Offer efficient and courteous responses to all resident and community requests.
  • Pursue educational opportunities and developmental growth opportunities
  • Other responsibilities as assigned or required based on the needs of the business.
  • Participates in Cardinal U training as required.
  • Collaborate with Portfolio Managers in conducting comprehensive analyses of communities, contributing to financial key performance indicators, financial strategies, organizing training sessions, and ensuring team implementation of devised plans to ensure communities achieve their leasing objectives efficiently and accurately.
  • Conduct thorough travel assessments at each community, communicating identified needs and progress to Operations Analyst as well as Portfolio Managers.
  • Facilitate smooth transitions by offering onboarding and training support for incoming communities in support of the Portfolio Managers overseeing the new asset.
  • Support Portfolio Managers in assigned projects, as delegated by the team lead.
  • Assist Portfolio Managers in conducting interviews for critical vacant onsite positions.
  • Act as a temporary replacement for Operations Analyst during their time off, ensuring the completion of essential weekly tasks and serving as the primary point of contact for onsite teams.
  • Participate in the testing of new tools, workflows and SOPs and provide quality control feedback on new and existing processes.
