About The Position

The Instructional Support Specialist – Nursing builds relationships with faculty, staff, deans, students, and the public to provide proactive support toward achieving department, divisional, and organizational goals. The position provides administrative and operational support for the nursing program and works collaboratively with the Coordinator to Dean of Health Sciences to help ensure seamless program operations.

Requirements

  • Associate degree OR an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job.
  • Two years of increasingly responsible office experience OR an equivalent combination of education/experience in office records and communications or a related field.
  • Proficiency in MS Office products, including Word, Excel, PowerPoint, and Outlook.
  • Ability to learn computer applications related to the assigned area, such as payroll, recruitment, registration, and advising.
  • Ability to work with confidential and sensitive information.
  • Strong attention to detail, including proofreading and problem-solving related to division paperwork.
  • Dependability and regular attendance.
  • Ability to take initiative and work with minimal supervision.
  • Strong time-management and organizational skills, including prioritizing special projects alongside routine assignments and adapting to change in a busy office.
  • Ability to communicate professionally through email, texting, written text, and verbal communication.
  • Ability to establish and maintain effective working relationships with internal and external customers and collaborate effectively as part of a team.
  • Ability to work with and produce detailed information and numeric data for reports.

Responsibilities

  • Provide administrative support to faculty, staff, and students for activities related to instructional programs.
  • Assist with department schedule building and payroll processing for part-time employees and adjunct faculty.
  • Screen incoming calls and correspondence and respond independently when appropriate.
  • Prepare meeting agendas, notices, and minutes.
  • Maintain department/division documents and records and assist with faculty paperwork and hiring.
  • Compose and prepare confidential correspondence and reports.
  • Assist with faculty and staff travel arrangements.
  • Create and maintain databases and spreadsheet files.
  • Perform departmental website maintenance as needed.
  • Coordinate and schedule faculty and department events.
  • Coordinate and schedule new student orientation and pre-nursing workshops.
  • Work closely with advising, the Coordinator to Dean of Health Sciences, and workforce development to assist with data collection related to graduate job placement, CEP programs, and IER program completion and NCLEX success data.
  • Collect, maintain, electronically file, and review faculty documentation for compliance and accuracy.
  • Work collaboratively with the Coordinator to Dean of Health Sciences to ensure seamless nursing program operations.
  • Perform other duties as assigned.
