About The Position

The Association for Individual Development (AID) is a non-profit organization whose mission is to empower people with physical, developmental, intellectual, mental health challenges; those who have suffered a trauma; and those at risk, to enjoy lives of dignity and purpose. We are looking for a Specialist- Human Resources who demonstrates this mission and wants to work for an organization that makes a difference in the community. What you will be doing? Performs various duties related to the Human Resources Department including maintaining accurate personnel records and Human Resource Information System database. Monitors and follows up on required file documentation. Maintains automated personnel information. Executes correspondence using Microsoft Office Suite and database software programs. Serves as primary back-up for recruitment functions.

Requirements

  • Education: High School diploma or equivalent. Advanced education or certification human resources preferred.
  • Experience: 3+ years experience in a human resources role required.
  • Must be able to lift and carry up to 25 pounds occasionally (e.g., boxes, materials, or event supplies).
  • May require extended periods of sitting, standing, bending, stooping, lifting, and reaching as required.
  • Must interact and greet customers and colleagues in a positive, approachable, and courteous manner.
  • Must be able to multi-task
  • Must be detail oriented
  • Ability to work independently and as part of a team

Nice To Haves

  • Experience working in a social service setting preferred.
  • Spanish-bilingual preferred.

Responsibilities

  • Maintains all personnel records and consistently updates personnel related information in computer database as well as individual personnel folders.
  • Follows up on all personnel related documents and information to ensure compliance with legal and funding bodies.
  • Accurately and timely completes all required audits for internal and external compliance.
  • Develops and maintains accurate required reports.
  • Adheres to and maintains confidentiality and ethical standards related to job function, client and organization.
  • Demonstrates excellent organizational skills as evidenced by records and reports.
  • Demonstrates a positive, approachable, courteous, and customer-appropriate verbal and written communication skills in culturally competent manner.
  • Coordinates random drug screening for employees’ subject to Federal Transportation Authority regulations and ensures employees are entered & removed from test pool, managers & employees are informed timely of testing when selected, etc.
  • Completes accurate, quality scanning and indexing of current employee and client records.
  • Coordinates and sends information for all new hires working with clients that require the Hepatitis B Vaccination
  • Accurately and timely prepares billing and invoice documentation for processing.
  • Provides in-person and document Spanish translation assistance.
  • Acts as alternate to assists with recruitment activities including job postings, job fairs, telephone inquiries and reference checks.
  • Maintains files and records as required separate from employee folder.
  • Issues anniversary listings for annual meeting.
  • Performs other work-related tasks as required.
