About The Position

This position is for a Special Services Secretary at Bellingham Memorial School. The role involves maintaining filing systems, scheduling meetings, handling correspondence and phone calls, organizing public records, preparing reports, and managing compliance logs. The secretary will also be responsible for preparing purchase orders and working independently or as part of a team. Additionally, the role requires cooperation with special education staff, scheduling team meetings, preparing special education documents, and maintaining confidentiality. The secretary will also review and edit Individual Education Plans (IEPs) and send reminders to staff to ensure timely completion of IEPs, adhering to the policies of the Bellingham School Committee.

Requirements

  • Minimum – High School Graduate
  • Extensive experience in office and clerical work.
  • Proficient with knowledge of Microsoft Office and Google Suite.
  • Must demonstrate neatness in appearance and work.
  • A high degree of patience and tact in dealing with students, parents, faculty, and the general public.

Responsibilities

  • Maintains a regular filing system and processes incoming correspondence as required.
  • Arranges scheduling and canceling of meetings and conferences including invitations.
  • Handles incoming telephone calls, takes messages, places calls, in a courteous and professional manner.
  • Organizes and assists in maintaining and preserving all public records and supporting files or ready accessibility.
  • Able to maintain multiple compliance logs using a variety of digital formats.
  • Is responsible for preparing reports as required by the Team Chair.
  • Able to closely monitor timelines.
  • Prepares purchase orders as needed or upon request.
  • Ability to work independently and within a team.
  • Any other districts as assigned by the Team Chair or Assistant Superintendent of Director of Student Services.
  • Works cooperatively with special education staff, particularly School Psychologist and Team Chair, in collecting necessary clerical data.
  • Schedules team meetings, prepares paperwork necessary for meetings.
  • Prepares all documents pertaining to the special education department.
  • Performs office tasks as required by the Special Education Team Chair.
  • Compiles reports as directed and assists in maintaining and preserving all public records and accurate files.
  • Confidentiality of work performed must be maintained.
  • Review and edit Individual Education Plans.
  • Send reminders to staff to ensure IEP’s are completed in accordance with mandated timelines.
  • Adheres to the adopted policies of the Bellingham School Committee.
