About The Position

The Special Education Secretary provides administrative and clerical support to the Special Education Department, with a primary focus on maintaining accurate student records, coordinating IEP meetings and timelines, supporting evaluation processes, and assisting with compliance-related procedures. The position requires strong organizational skills, attention to detail, confidentiality, and effective communication with students, families, staff, and administrators.

Requirements

  • High school diploma or equivalent
  • Proficiency with standard office technology, databases, email, and scheduling systems.
  • Ability to work independently while also functioning effectively as part of a collaborative department.

Responsibilities

  • Maintain accurate, organized, and confidential special education student records in accordance with district, state, and federal requirements.
  • Schedule and coordinate IEP Team meetings, including annual reviews, reevaluations, initial evaluations, and other meetings as requested.
  • Communicate with families, staff, and service providers regarding meeting dates, times, locations, and required documentation.
  • Support the Special Education Team Chair and department administration with IEP compliance and procedural timelines.
  • Assist with monitoring IEP meeting schedules and compliance timelines to ensure required meetings and actions occur within mandated timeframes.
  • Maintain and support the department's evaluation/testing log, including tracking referrals, evaluations, consent, testing timelines, reports, and completion dates.
  • Assist with the organization and distribution of evaluation reports and other required special education documentation.
  • Enter, update, and maintain student information in relevant district databases and student information systems.
  • Prepare materials and documentation for IEP Team meetings.
  • Maintain department calendars, schedules, and meeting records.
  • Answer and direct telephone calls, respond to routine inquiries, and provide information to families and staff as appropriate.
  • Assist with correspondence, notices, forms, and other special education documentation.
  • Support the Special Education Team Chair and department staff with administrative tasks related to the IEP process.
  • Maintain confidentiality of student, family, and personnel information at all times.
  • Establish and maintain effective working relationships with students, parents/guardians, teachers, related service providers, administrators, and outside agencies.
  • Perform other related duties and assignments as directed by the supervisor.
