About The Position

Under the direct supervision of the Director of Special Services, to provide clerical, secretarial and administrative assistance to the Special Services department and Special Education staff at the school level.

  • Associates degree with course work in business, math, word processing, office procedures and record keeping preferred.

Responsibilities

  • Perform Data Manager/System Administrator duties for Special Education database systems such as CT-SEDS. This includes managing student records, uploading documents, updating user access, etc.
  • Ongoing contact with PSIS coordinator
  • Maintain caseloads/address info on all In-District Special Education, 504, Magnet and Outplaced student files for the purpose of providing up-to-date reference and audit trail for compliance. Maintain attendance, school performance; and/or additional records for outplaced students.
  • Schedule meetings/PPTs with parents and school staff for 504, Magnet and Outplaced students for Director of Special Services, and Magnet/504 Coordinator. Communicates directly with the Special Services Department regarding meetings.
  • Coordinate with offsite storage company, Iron Mountain, for maintenance of Special Education inactive files. Responsible for destruction of records in accordance with Connecticut State Law.
  • Compose documents (e.g., correspondence, reports) for Director of Special Services
  • Maintain the daily/weekly/monthly calendar of the Director of Special Services for the purpose of coordinating the scheduling of work-related appointments, activities, meetings, etc.
  • Responds to inquiries from students, parents, school employees (in-district/out-of-district) and state agencies (DDS, Social Security Administration, etc.) in order to provide information and student files to facilitate communication. Maintain an accurate listing of students with parental permission to access benefits through Medicaid.
  • Transportation Liaison for both in-district and outplaced special education students. Works with multiple transportation companies and vendors. Communicates information to parents.
  • Generate Special Education purchase orders and provide budgeting assistance. Works with various Regional Educational Support Centers to resolve billing issues, make inquires and provide/receive information. Meets regularly with Finance Department regarding accounts payable for tuition and transportation.
  • Prepare the CSDE eGrants Management System. Calculate projected increases in tuition, transportation and other provided service contracts.
  • Secures pricing information, gathers all required signatures for outside contracts.
  • Generate data and submit the Excess Cost Grant.
  • Assists visitors to the office, including students, parents, tutors and others.
  • Answers telephone calls and provide information and assistance to callers. Acts as a liaison between families, community and school district.
  • Distributes incoming mail appropriately; send outgoing mail.
  • Performs other related duties, as assigned, for the purpose of ensuring the efficient and effective functioning of the Special Services Department.
