About The Position

The Department of Energy (DOE) Office of Nuclear Energy (NE) requires a Special Assistant to the Deputy Assistant Secretary (DAS) for International Nuclear Energy Policy and Cooperation (NE-6) to achieve success in the performance of its mission. The Special Assistant will provide full time support in a remote work environment with occasional onsite presence as required by the DAS. The Special Assistant must be a Subject Matter Expert in providing managerial administrative and technical services to the DAS. Requirements

  • Must be able to obtain and maintain the required customer clearance for access to systems, facilities, equipment and property.
  • Expert knowledge of standard office practices and procedures.
  • Expert ability to compose correspondence from draft to final version.
  • Expert in the use of the English language as to professional business grammar, spelling, punctuation and capitalization in the preparation of correspondence, reports and presentations
  • Expert skills to work effectively both individually and in a team environment.
  • Expert in use of government travel systems, DOE business processes, and Microsoft Windows and Office Suite (i.e., Word, Excel, Outlook, PowerPoint, etc.)
  • Expert in facilitating teamwork and coordinating efforts for the successful achievement of goals.
  • Excellent verbal and written communications skills with solid presentation skills.
  • Exceptional customer service and relationship-building skills.
  • Ability to schedule, plan and lead meetings.
  • Bachelor’s degree in Marketing, Communications, Journalism, Advertising, Graphic Design, Event Planning, Business, Information Technology, or other related fields and or a minimum four (4) years of relevant experience working in communications or a related field.

Responsibilities

  • Provides senior administrative and technical support services for the DAS and NE-6 team.
  • Manages meeting requests, complete necessary virtual meeting setups, and manages logistics for in-person meetings.
  • Manages calendars and ensure DAS is provided appropriate meeting or event materials in advance.
  • Coordinates with front office and other DAS assistants on scheduling, deadlines, and deliverables.
  • Plans, establishes, and manages activities to support complex international travel itineraries.
  • Utilizes the Electronic Country Clearance process and the Foreign Travel Management System, coordinates with NE IT to order equipment for DAS use during international travel; complete vouchers once travel has been completed.
  • Attends meetings on behalf of DAS and provide a written readout.
  • Liaise with external stakeholder’s staff to coordinate meetings and events with high level officials to include Embassies, industry, Congress, and non-governmental organizations.
  • Monitors classified correspondence and emails.
  • Develops office standard operating procedures to include onboarding and offboarding.
  • Works with the Correspondence Control Center (CCC) to facilitate packages and documents for concurrence and signature.
  • Coordinates with NE Communications team and update the NE-6 webpage and other online media.
  • Prepares emails, correspondence, PowerPoint presentations, flyers, meeting memos, and background materials as needed on a variety of nuclear topics.
  • Maintains records management for the DAS and provide oversight of team’s record management efforts.
  • Brings to management’s attention action items by priority.
  • Gathers and synthesizes data from various sources to support the decision-making process.
  • Manages extremely difficult and/or complex, highly visible projects.
  • Responsible for aiding in own self-development by being available and receptive to all training made available by the company.
  • Plans daily activities within the guidelines of company policy, job description and supervisor’s instruction in such a way as to maximize personal output.
  • Responsible for keeping own immediate work area in a neat and orderly condition to ensure safety of self and coworkers.
  • Will report any unsafe conditions and/or practices to the appropriate supervisor and human resources.
  • Will immediately correct any unsafe conditions to the best of own ability.
