About The Position

The Department of Licensing (DOL) is seeking a Special Assistant to the Chief Information Officer (CIO) for the Information Services Division. This role provides confidential executive support to the CIO, focusing on managing schedules, building relationships, and supporting executive leadership. The DOL is a significant state agency, serving millions of residents and collecting substantial revenue, emphasizing equitable access to services. Requirements

  • Five (5) years of progressively responsible professional level administrative experience.

Responsibilities

  • Provide confidential executive support to the Chief Information Officer (CIO) of the Information Services Division.
  • Track and monitor project deadlines and outcomes to ensure quality results within given timeframes.
  • Help resolve issues and complaints.
  • Manage the day-to-day administrative support of the Division.
  • Establish work rules and performance standards for the Division's administrative team.
  • Serve as a liaison between organizational units within the agency.
  • Oversee new employee setups, moves, and separations, coordinating with Facilities, Help Desk, and Telecommunications.
  • Support the CIO in managing operational, financial, policy development and implementation, and performance management responsibilities of the Information Systems Division (ISD).
  • Provide advice, consultation, leadership, and special project oversight on programmatic, operational, and policy issues of the ISD assigned by the CIO.
  • Schedule and coordinate meetings and calendars, arrange meeting facilities, prepare meeting materials, and compose and publish meeting notes.
  • Serve as a member of the agency’s Executive Support Team.
  • Act as the divisional liaison to the Agency Divisional Access Coordinators (DACs) in partnership with the Service Desk administrative assistant, composing and communicating changes impacting DACs' work and processes, maintaining the DACs MS Teams and SharePoint site, and providing assistance.
  • Model effective leadership, management, and communication techniques.
  • Manage the day-to-day administrative support of ISD.
  • Establish work rules and performance standards for the Division administrative team.
