About The Position

The Sourcing Manager, Contracts and Recurring Services is responsible for leading vendor sourcing discovery efforts across multiple Business Units (Operations, I.T., etc), negotiating and managing contracts, overseeing Contract Management for the Supply Chain team, discovering and onboarding high-performing service providers, and ensuring seamless delivery of essential recurring services such as pool maintenance, landscaping, lawn care, and pest control. The ideal candidate combines strong procurement expertise with a deep understanding of vendor contracting to drive cost savings, vendor performance, and resident satisfaction while minimizing property downtime and maintenance escalations. Requirements

  • Deep understanding of supplier contracts
  • Exceptional persuasion and interpersonal skills in order to interact with suppliers, business leaders and all other internal stakeholders
  • Experience with ERP systems, Spend Data Analytics & Reporting, eSourcing, inclusive of eAuctions and contract management systems
  • Experience partnering with Legal on supplier contract review and negotiation preferred
  • Writes clearly and informatively and presents numerical data in an easy to digest format
  • Demonstrates a high level of attention to detail
  • Ability to effectively organize and prioritize multiple tasks
  • Demonstrated experience leading sourcing projects from initiation through implementation preferred
  • Demonstrated understanding of purchasing policies, procedures, practices, and the value and use of procure-to-pay (P2P) digital platforms
  • Proficient in Microsoft Office; Advanced Excel abilities (pivot tables, VLOOKUP, Index (Match) charting/graphing) preferred
  • Ability to travel up to 10-20% of the time
  • Bachelor’s Degree preferred, or equivalent combination of education, training, and experience
  • Minimum of 3-5 years of experience in procurement, strategic sourcing, supplier management, or contract management with direct responsibility for supplier negotiations and contract administration
  • Proven track record of developing and managing RFP’s and RFI’s
  • Strong analytical and strategic thinking skills, with an ability to conduct detailed cost analyses and market assessments.

Responsibilities

  • Work with cross-functional teams across Operations, I.T., Accounting, Asset Management, and various business units on Sourcing discovery (i.e., vendor research, business unit vendor requirements, analyzing historical contracts for sourcing strategies, etc)
  • Build and maintain a robust vendor pipeline through market analysis, networking, referrals, industry events, and competitive bidding processes.
  • Proactively identify, research, and evaluate potential vendors for pool maintenance, landscaping, lawn care, tree services, irrigation systems, and other recurring exterior services across multiple markets.
  • Lead negotiations for master service agreements (MSAs), pricing schedules, scope of work, SLAs (service level agreements), and performance incentives/penalties.
  • Actively monitor and manage upcoming contract expirations, renewals, and termination across the Supply Chain team and directly assist cross-functional business units in contract management.
  • In partnership with Legal, draft, review, and manage vendor contracts to secure favorable terms, including volume-based pricing, response time guarantees, quality standards, and termination clauses.
  • Oversee contract renewals, amendments, and compliance monitoring to mitigate risks and ensure ongoing value.
  • Serve as a primary point of contact for contract lifecycle management, including contract intake, renewals, amendments, terminations, and coordination with Legal on contract negotiations.
  • Manage relationships with approved vendors for pool and landscaping services, monitoring performance against KPIs such as response times, completion quality, resident feedback, and cost per unit.
  • Address underperformance through corrective action plans or vendor transitions as needed.
  • Collaborate with field operations, construction, and maintenance teams to forecast service demand, coordinate scheduling, and resolve escalated issues.
  • Develop category-specific sourcing strategies for pools and landscaping to achieve annual cost savings targets while maintaining or improving service quality.
  • Analyze spend data, market trends, and benchmarking to identify opportunities for consolidation, regional pricing agreements, or alternative service models.
  • Identify, evaluate, and negotiate with suppliers and vendors for the best pricing, quality, and delivery terms.
  • Conduct regular performance reviews of suppliers to ensure alignment with quality, cost, and service level expectations.
  • As needed, oversee the procurement of construction materials, appliances, tools, and other necessary supplies for home renovations and maintenance.
  • Work with Finance and Data & Analytics to track and report on monthly cost variances, analyzing factors impacting local market expenses
  • Evaluate and support implementation of contract management tools and processes to improve contract visibility, compliance, reporting, and operational efficiency.
