About The Position

The overall responsibility of the Site Supervisor is to ensure the smooth running of your site and to coordinate work amongst all its departments.

Requirements

  • Full time employment with FES
  • Flexible schedule- ability to work early/stay late when necessary.
  • Knowledge of clinical flow, with at least on year of clinical experience
  • Ability to motivate staff, and delegate orders when needed.
  • Ability to multi-task, attentive to detail
  • Highly organized
  • Able to perform every position in the practice.
  • Minimum of COA certification or willingness to obtain it within 6 months in the position.

Responsibilities

  • Suggest new policies or procedures when you notice an area of opportunity.
  • Maintaining the office equipment and scheduling repairs whenever necessary
  • Review the employee and clinic schedules to ensure adequate coverage.
  • Manage daily TOS batches and weekly deposits.
  • Resolve unhappy patient complaints quickly and professionally.
  • Evaluating and assessing the performance of each employee to share with your office manager.
  • Scheduling staff based on potential tech points.
  • Daily record keeping and distribution of technician points.
  • Monthly record keeping of Paylocity compliance and 2 modules of BSM courses.
  • Respond to subpoenas and medical records as requested by attorney, DOH, and any other entities.
  • Monitoring clinical inboxes throughout the day to ensure they are being completed.
  • Monitor workflow dashboard for no shows, appointments to schedule and appointments that need to be rescheduled in order to maintain a productive doctor schedule and timely standard of care
  • Ensuring that the staff is working properly and efficiently.
  • Conducts regular staff training
  • Motivating employees with constructive feedback to ensure the highest level of performance.
  • Resolving any interdepartmental and personal disputes in the clinic with the support of your office manager
  • Communicate with staff via weekly staff huddles and/or Athena messages.
  • Assigning daily duties to staff (kitchen, bathroom, clinical inboxes, workflow dashboard, etc)
  • Participate in the selection and recruitment of new candidates.
  • Participate in the training and orientation of new employees to make them well-versed with the office policies, procedures and equipment.
  • Holding regular meetings with your office manager to review performance of the clinic.
  • Observing the chain of command
  • Completing tasks by given deadline
  • Staying up to date in the industry standards by continuing education, participating in workshops and continually learning about new office management procedures
