About The Position

The Site Supervisor is responsible for planning, implementing, and supervising a daily program of activities for school-age children in a before and after school child care setting. This role is typically located in a designated room within an elementary school building and often requires a split shift for opening and closing the site. The Site Supervisor will foster positive relationships with children, parents, school teachers, and school district personnel. The position can be for the nine-month school year or the three-month summer program, or both. The Site Supervisor will plan and implement developmentally appropriate programs using the YMCA School Age Care Curriculum, including weekly lesson plans, structured activities, and outdoor play. They will establish clear rules and use positive discipline techniques, while identifying and supporting children with special needs and serving as a positive role model. Communication with parents and school district personnel is key, involving monthly newsletters, parent conferences, and timely responses to concerns. The Site Supervisor also oversees assistant teachers, conducting evaluations, assigning duties, and fostering teamwork. Reporting functions include maintaining attendance and meal counts, planning menus, utilizing timekeeping systems, submitting weekly and monthly reports, and immediately reporting accidents. Ensuring a safe and healthy environment involves constant supervision, escorting children, maintaining confidentiality, administering first aid, managing medication, conducting fire drills, and adhering to licensing requirements. Additional responsibilities include managing supplies, preparing meals, attending meetings and trainings, securing the building, completing service projects, maintaining child records, controlling program resources, and managing petty cash. The Site Supervisor must be available for various school schedules and ensure the site operates within YMCA guidelines and contractual agreements, while adhering to the dress code and employee handbook policies.

Requirements

Completion of an undergraduate program at an accredited college or university with a Bachelor's Degree and/or teaching certification in Early Childhood Education, Child Development, Special Education, or Elementary Education OR the completion of an undergraduate program at an accredited college or university with an Associate's Degree, or its equivalent, in Early Childhood Education, Child Development, Special Education, or Elementary Education the completion of an undergraduate program at an accredited college or university with a CDA and two (2) years' work experience related to the care and development of children.
Compliance with Act 33, to include documentation of Child Abuse History (Form CY-113) and Criminal History (Form SP4-164) and FBI fingerprinting.
Biennial physical examination and initial TB (Mantoux) Test and freedom from any infectious or communicable disease.
Ability to work with and relate well to young children and coworkers.
Ability to supervise adults.
Successfully complete the New Staff Orientation and mandated reporter training before starting in the classroom.
CPR, First Aid, AED certifications within 30 days of hire date.
Ability to plan, organize and implement age-appropriate/developmentally appropriate program activities.
Previous experience with diverse populations. Ability to develop positive, authentic relationships with people from different backgrounds.

Responsibilities

Plan and implement a developmentally appropriate program using the YMCA School Age Care Curriculum.
Prepare and execute weekly lesson plans based on a weekly, bi-weekly, or monthly themes. Appropriate learning standards must be documented in the lesson plans.
Be aware of and responsive to various ages, developmental levels, and interests of enrolled children when planning activities.
Provide daily opportunity for outdoor activity (weather permitting).
Plan and implement a minimum of one structured activity per day.
Set rules and limits with all children and post in a prominent location.
Establish discipline techniques that are firm, consistent, and fair to all children.
Identify children who may have special needs and assist the child in gaining acceptance among peers.
Uses positive approaches to help children behave constructively.
Have meaningful interactions with children on a consistent and regular basis.
Provide a variety of choices, experiences, and opportunities for all children.
Demonstrate characteristics of a positive role model.
Prepare and distribute a monthly newsletter for parents.
Conduct parent conferences within 45 days of enrollment, at least twice during the school year and as needed.
Respond to questions, concerns, or complaints in a professional and timely manner; not in front of the children or when scheduled to be involved with the group.
Share pertinent program and child information with parents and/or the school district on a regular basis via notes, posters, newsletters, or verbal communication.
Act as a responsible advocate of the YMCA.
Conduct biannual formal evaluations of assistant teacher(s) providing guidance, direction, and support on a regular and ongoing basis.
Work cooperatively to assign duties and responsibilities of all staff.
Communicate and work cooperatively as a team to promote the site in a positive fashion.
Conduct staff conferences when necessary to identify problems and seek solutions.
Actively involve and solicit input/ideas of assistant teacher(s) into program planning and development.
Accurately record and maintain weekly and monthly attendance and meal counts.
Plan monthly breakfast and snack menus according to the CACFP guidelines.
Utilizes the ADP time system. If access is unavailable then maintain an accurate time sheet. Calculate and approve the assistant teacher(s) time sheet if they do not have access to ADP. Turn in weekly. Every effort should be made to use the ADP system!
Submit weekly attendance and payments to the school age director at the beginning of each week.
Submit monthly attendance and meal counts, menus, lesson plans, accident reports and tracking form, illness tracking form, and health and safety checklist by the second business day of the new month. All items should be placed in the sites monthly envelope .
Report accidents to the school age director immediately by phone and submit accident reports in written form within 24 hours.
Report changes in addresses, phone numbers, place of employment, and emergency contact numbers to the school age director.
Supervise children in all settings and at all times. Be aware of the number of children in care at all times.
Eats with children modeling proper table manners and sharing the same menu .
Safely escort children to and from school, where applicable.
Insure strict confidentiality of any and all pertinent information concerning children and their families.
Administer First Aid as necessary.
Maintain a properly stocked First Aid Kit.
Check the school office and phone the parent if an after school child who normally attends does not come to a designated meeting place.
Administer medication if necessary and record on a daily medication log.
Conduct and record fire drills every 60 days (at a minimum).
Be aware of and carry out all licensing requirements as outlined in DHS’s Licensing Handbook for Child Care Centers.
Insure that emergency contact sheets are updated every 6 months and any changes are reported to the school age director.
Insure that emergency information and the First Aid Kit accompany children at all times when leaving the premises.
Obtain food from the YMCA. Order any additional food from the cook. The cook must have at least two days notice and any special orders must be picked up the day they are delivered.
Maintain neatness and cleanliness of SACC area. Helps with maintainging cleanliness of classroom (washes tables before and after snack, sweeps floor, cleans up any spills promptly, etc.)
Attend and participate in a monthly staff meeting.
Attend and participate in all required trainings.
Secure the building at sites which have keys to open and close.
Maintain appropriate levels of supplies at the site.
Prepare and serve daily breakfast and snacks following the CACFP guidelines.
Complete a quarterly service project.
Maintain accurate and complete records and files on enrolled children including physicals, immunizations, emergency contacts, and parental consents.
Control unauthorized access and use of program food, supplies, and equipment.
Maintain inventory of all site equipment, toys, games, and materials.
Maintain petty cash account, process receipts with petty cash slips, and identify items purchased and intended use.
Be available to work on school scheduled inservice days and vacations, snow delays, early dismissals, and school closings as required by the school age director.
Assure the site is operated within YMCA Child Care Services guidelines and in accordance with contractual agreements at each site.
Follows appropriate dress code set forth by the agency.
