About The Position

The Site Operations Specialist, under the supervision and guidance of the Director of Transitions and Site Support, provides general support for COCM sites' operations teams and fills in at sites when staff vacancies occur. This role offers on-site leadership, staff development, and program management during Manager/Director vacancies or when additional operational support is required. The specialist will build and maintain positive relationships with clients, university partners, and residents, while developing, refining, and implementing effective systems and processes to support community operations. Responsibilities also include managing financial aspects such as contracts, accounts payable/receivable, and budgets, delivering excellent customer service, ensuring facilities are maintained to exceed expectations, and assisting with staff recruitment and onboarding.

Requirements

  • Master's degree in Student Personnel, Higher Education or Business or a related field of study.
  • 3-5 years of experience in Housing/Residence Life at a College or University or related experience
  • Experience working with student populations.
  • Experience in facilities management or asset management including management of operating and capital budgets.
  • Leadership experience in crisis management incidents.
  • Excellent attention to detail and organizational skills.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities and meet deadlines effectively.
  • Working knowledge of Microsoft Word, Excel, and Outlook.
  • Ability to move/lift up to 35 pounds.

Responsibilities

  • Serve as a substitute for staff members at communities experiencing vacancies or absences.
  • Provide on-site leadership, staff development, and program management during Manager/Director vacancies or when additional operational support is required.
  • Build and maintain positive relationships with clients, university partners, and residents.
  • Develop, refine, and implement effective systems and processes to support community operations.
  • Manage financial responsibilities, including contracts, accounts payable/receivable, and budgets.
  • Deliver customer service to clients, students, parents, and guests.
  • Ensure facilities are maintained to exceed expectations or service standards.
  • Support the operations team by assisting with or leading special projects and initiatives as assigned.
  • Assist with staff recruitment such as interviewing and new employee onboarding.
  • Supervise staff and provide ongoing coaching and support.
  • Assist with hiring, training, and onboarding new team members.
  • Complete accounts payable processes accurately and on time.
  • Represent the organization in meetings with campus partners and/or ownership groups.
  • Supervise and support leasing and marketing staff.
  • Review, prepare, and distribute leases.
  • Maintain and update marketing materials.
  • Communicate with current and prospective residents to promote leasing opportunities.
  • Supervise facilities staff and coordinate vendor services.
  • Conduct regular building inspections and walkthroughs.
  • Oversee the entry, tracking, and completion of work orders.
  • Perform other duties as assigned.
  • May temporarily oversee supervisors and staff in Residence Life, Maintenance, and Operations, including overall direction, coordination, and evaluation of site teams.
  • Responsibilities may include training, assigning work and resolving issues, in compliance with COCM policies and applicable laws.
