About The Position

The Site Lead Coordinator provides high-level administrative and operational support to senior leaders. This role requires exceptional organizational skills, discretion, and the ability to manage competing priorities in a fast-paced environment. The ideal candidate is proactive, detail-oriented, and trusted to handle sensitive information while serving as a key partner to executive leadership.

Requirements

  • Typically requires an AA/AS degree (or other 2-year post high school training) with a minimum of 8 years relevant experience
  • U.S. citizenship is required, as only U.S. citizens are authorized to access information under this program/contract.

Nice To Haves

  • 3+ years of experience supporting senior-level leaders
  • Strong proficiency with Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams)
  • Exceptional written and verbal communication skills
  • Proven ability to manage confidential information with professionalism and discretion
  • Strong organizational, time-management, and problem-solving skills
  • Experience supporting multiple leaders simultaneously
  • Background in fast-paced environments
  • Experience with project management tools or expense management systems
  • Associate's or Bachelor's degree preferred, or equivalent professional experience.

Responsibilities

  • Manage calendars, including scheduling meetings, coordinating across time zones, and resolving conflicts
  • Assisting with accommodation and expense reporting
  • Prepare agendas, materials, presentations, and briefing documents
  • Serve as a primary point of contact for employee engagement activities
  • Draft, edit, and format correspondence, reports, presentations, and other leader-level materials
  • Maintain confidential files and records with a high degree of accuracy and discretion
  • Track action items, deadlines, and follow-ups to ensure commitments are met
  • Support leadership meetings, including preparation, logistics, and minutes (as applicable)
  • Assist with special projects, cross-functional initiatives, and process improvements
  • Anticipate leadership needs and proactively address administrative or operational gaps
  • Partner with other staff to ensure seamless support coverage
