About The Position

The Site Coordinator is accountable for the daily operations of a single-person site, performing contracted office services. This includes responsibilities such as copy services, courier services, managed print services, hospitality, imaging, and mail services. The role involves operating office equipment, managing customer interactions, implementing service excellence programs, and ensuring efficient operation to meet service-level agreements (SLAs). The Site Coordinator also plays a role in achieving profitability goals, maintaining daily operational functions, interacting with vendors and facility management, managing office supplies, coordinating conference room scheduling, and providing operational data to leadership.

Requirements

  • High school diploma or GED required.
  • 1+ years of experience in a related field (B2B and/or technical environment).
  • 1+ year of customer-facing work experience required.
  • Demonstrated knowledge and understanding of technology.
  • Tactical thinking and decision-making skills.
  • Ability to present information to small groups.
  • Moderate problem-solving skills.
  • Strong customer service orientation.
  • Basic technical aptitude.
  • Effective written and verbal communication skills.

Responsibilities

  • Responsible for daily operations of a mail room, copy center, or scanning facility.
  • Operate office equipment such as PCs, copiers, multifunction devices, imaging equipment, and mail equipment.
  • May be responsible for courier services, reception services, switchboard operations, shipping and receiving, and mail processing and delivery.
  • Handle daily customer interactions and maintain professional relationships.
  • Responsible for the effective implementation and management of Ricoh Service Excellence programs.
  • Understand and efficiently operate required equipment and software to meet service-level agreements (SLAs).
  • Achieve profitability goals by effectively utilizing company materials and supplies.
  • Maintain daily operational functions, including creating and completing work orders, contractor monitoring, inspections, reporting facility issues, and providing general support as needed.
  • Interact with contracted vendors, facility management, and site occupants.
  • Manage office supply inventory and reordering as needed.
  • Coordinate conference room scheduling and A/V equipment resources.
  • Maintain positive working relationships with all employees through professional communication.
  • Collect and provide operational data to leadership and customers, including monthly reporting where required.
  • Ensure financial responsibilities are met.
  • Perform other duties as assigned.
