About The Position

This position is for an Environmental, Safety and Health (ES&H) Administrative Assistant to provide comprehensive administrative support to the project. The ES&H Administrative Assistant will report to and receive directions from the Project ES&H Manager and will be required to balance administrative responsibilities along with other scopes of work as assigned. The responsibilities of the role will require daily coordination with the Project ES&H Manager, Environmental Manager, Deputy ES&H Manager, as well as others to prioritize work. Relocation assistance is not authorized for this position.

Requirements

  • Requires 2-4 years of related experience.
  • Must have the right to work and remain in the United States without visa sponsorship.
  • Must be able to demonstrate advanced proficiency using Microsoft Excel, Outlook, PowerPoint, and Word.
  • Skills assessments may be administered to evaluate proficiency.
  • Must have excellent written and verbal communication skills including spelling, grammar, punctuation, and proper use of syntax.
  • Must hold a valid driver's license.
  • Must be able to work in a fast-paced environment with a strong ability to multi-task.
  • Must be willing and able to work overtime with little or no notice.
  • Strong organizational skills and the ability to prioritize administrative deliverables.

Nice To Haves

  • Previous Bechtel experience working as an administrative assistant/secretary is helpful.
  • Experience working at a construction jobsite is a plus.
  • Ability to work on a job where site conditions may change daily.

Responsibilities

  • Receives and screens phone calls and visitors and directs them to the appropriate parties.
  • Composes and distributes complex correspondence using Bechtel standard word processing systems or other software applications.
  • Reviews accuracy and format of outgoing documents which require manager approval.
  • Coordinates requests from client, manager, and in-house staff.
  • Determines action on important or emergency matters and knows whom to contact in absence of manager.
  • Maintains file of important matters for manager attention upon return. Collects, reviews, and distributes incoming hard copy mail.
  • Maintains project ES&H records, logs and coordinates with the DCC team to ensure all records are retained as required.
  • Responsible for coordinating with respective ES&H personnel and subsequent data entry into the ISNet system, as required by contractual requirements.
  • Coordinates complex travel arrangements, including details of business plans.
  • Prepare itineraries and expense reports.
  • Coordinates meetings, arrangements for facilities, required equipment, and catering.
  • May prepare and distribute ES&H toolbox talks, notices, agendas, information packets, and minutes. Independently maintains a hard copy or electronic calendar for responsible manager(s).
  • May manage vehicle mileage logs, vehicle parking pass assignment.
  • Other administrative tasks as required.
