About The Position

The Unit Secretary will be responsible for a variety of administrative and support functions within the Emergency Department. Key responsibilities include managing patient information, operating communication systems, and providing excellent customer service to patients, families, and staff. The role requires attention to detail, strong organizational skills, and the ability to work effectively as part of a healthcare team.

Requirements

  • BLS Certification
  • Healthcare related experience within the previous 2 years.
  • High School Diploma or GED
  • Demonstrated typing speed of 40 wpm.
  • Demonstrate computer skills including word processing and data entry.
  • Excellent verbal and communication skills required.

Responsibilities

  • Answering phones, keeping track of patient ED charts, patient status, and discharged patient orders.
  • Operating the page system.
  • Performing administrative support functions.
  • Data entry of patient orders.
  • Proficient use of Exit Writer program.
  • Greeting patients, families, and internal/external customers in an appropriate and professional manner.
  • Answering and handling all incoming calls promptly and politely, referring calls to appropriate providers of care when required, and taking complete messages for providers.
  • Placing pages and routing callbacks upon request of RN or Physicians.
  • Keeping track of charts, maintaining an update awareness of the ED environment (updating boards, knowing who is currently on shift).
  • Keeping track of ED patient’s status and communicating the ED location of the patient to the appropriate internal/external clients.
  • Coordinating the discharge of patients by assuring the patient’s discharge instructions are complete and accurate, and alerting the nurse if needed that the discharge is ready.
  • Anticipating the needs of the nursing staff and functioning as an integrated member of the team in helping to strip linens, clean stretchers, and make beds.
  • Maintaining the 24-hour census log for the Emergency Department.
  • Understanding STEMI and STROKE alerts as well as the required documentation.
  • Dispatching ambulances, critical care ground transport teams, or helicopters upon request of the RN or Physician.
  • Performing daily tasks and reports as required.
