About The Position

The Shipping Coordinator role is responsible for planning and scheduling all outbound shipments, coordinating carrier appointments, preparing shipping documentation, and ensuring outbound orders meet food safety, traceability, and customer specifications. This position serves as the primary communication link between Customer Service, Production Planning, Carriers, and the Shipping Team to ensure timely, accurate, and compliant shipments from a food manufacturing facility. Hours: Sunday through Thursday, 4:00 PM to 12:30 AM, with every other Friday

Requirements

  • 1–3 years of logistics, shipping, scheduling, or administrative experience within manufacturing (food preferred).
  • Strong understanding of outbound logistics processes, BOL creation, and carrier appointment systems.
  • Knowledge of GMPs, food safety practices, lot tracking, and cold-chain requirements.
  • Proficiency with Microsoft Office and ERP/WMS systems (SAP, Oracle, RedPrairie, etc.).
  • Excellent communication, organizational, and problem-solving skills.
  • Ability to work in a fast-paced environment and manage multiple priorities.
  • Strong attention to detail and accuracy.

Responsibilities

  • Schedule all outbound carrier appointments for LTL, FTL, shuttle, and customer pick-ups, ensuring efficient dock utilization and minimal carrier wait times.
  • Communicate proactively with carriers regarding appointment availability, shipment status, changes, or load readiness.
  • Coordinate with Production Planning to verify product availability, lot codes, quantities, and timing for scheduled orders.
  • Maintain daily dock schedule and communicate updates to Shipping Manager, Supervisors, and warehouse teams.
  • Manage time-sensitive orders and prioritize loads based on customer deadlines and plant capacity.
  • Prepare and verify Bills of Lading (BOL), packing lists, pallet tags, export paperwork, and customer-required documentation.
  • Ensure all information—including product codes, lot numbers, allergen statements, weights, and counts—is accurate and compliant.
  • Process shipments in ERP/WMS systems; ensure real-time accuracy of order status, lot allocations, and trailer numbers.
  • Track and record seal numbers, trailer inspections, and temperature verification logs.
  • Support ASN (Advanced Shipping Notice) creation and transmission to customers.
  • Ensure all documentation and shipping records meet SQF/BRC, FSMA, USDA, and customer-specific traceability requirements.
  • Verify cold-chain compliance including trailer pre-cool conditions, pulp temperature checks, and load temperatures.
  • Maintain compliance with allergen control, labeling accuracy, and mixed-load segregation guidelines.
  • Support mock recalls and traceability audits by maintaining complete and accurate outbound documentation.
  • Follow all warehouse GMPs including hygiene, facility access restrictions, and contamination prevention practices.
  • Serve as point of contact for Customer Service, Sales, and external customers regarding outbound order status, shipping windows, and documentation needs.
  • Communicate load delays, shortages, or production constraints as soon as they occur.
  • Provide proactive updates to internal stakeholders to ensure service level expectations are met.
  • Assist with freight claims documentation and carrier communication as needed.
  • Verify orders are staged accurately and in alignment with scheduled shipping times.
  • Work closely with Shipping Leads/Operators to resolve order discrepancies, pallet issues, or documentation variances.
  • Monitor dock activity to ensure smooth transitions between loads and adherence to the daily schedule.
  • Assist with inventory inquiries, lot verification, and outbound cycle counts.
  • Identify scheduling bottlenecks and propose process improvements to reduce detention, rework, and shipment errors.
  • Support KPI reporting including on-time shipments, documentation accuracy, carrier performance, and trailer dwell time.
  • Contribute to the development of SOPs, standard work, and scheduling templates.
