About The Position

Under the direction of the Division Manager, the Shipping and Receiving Assistant supports the accurate and efficient flow of inbound and outbound freight at Arrow’s Chicago, Illinois reload facility. This role assists with receiving, shipping documentation, inventory tracking, customer service, and communication with carriers, suppliers, customers, and internal teams. The Shipping and Receiving Assistant plays an important support role in the day-to-day reload operations of the division, helping ensure products move through the facility and transportation network accurately, safely, and efficiently. The Shipping and Receiving Assistant contributes to customer service success and operational efficiency through accurate record keeping, timely processing of shipping and receiving documentation, and support of inventory control processes within the reload facility.

Responsibilities

  • Accurately receive, inspect, and document incoming truck and rail freight shipments
  • Assist with tracking inbound rail and truck shipments and provide updates to support operational planning
  • Coordinate with carriers and suppliers to schedule deliveries and ensure timely receipt of goods
  • Work closely with the yard or reload team to organize and store incoming products efficiently
  • Manage documentation, including bills of lading, customs paperwork, and other relevant shipping documents
  • Accurately prepare and process shipping documentation for outbound truck and rail freight (Truck or Rail Bills of Lading, Arrow’s and or Customer documentation requirements)
  • Assist with scheduling pickups and coordinating outbound shipments with carriers
  • Ensure accurate and timely dispatch of products to customers or other destinations
  • Monitor and track outbound shipments, providing updates to internal teams and customers
  • Assist with daily, weekly, and monthly inventory counts and help reconcile inventory records with shipping and receiving documentation
  • Follow established inventory and invoicing procedures and assist with maintaining accurate inventory records using Arrow's systems and technology
  • Enter inventory transactions and shipment information into applicable systems accurately and in a timely manner
  • Ensure product inventory is moved as per customer requirements, i.e. FIFO for lumber
  • Report any issues with respect to inventory age and/or integrity
  • Communicate effectively with carriers, suppliers, and internal teams to ensure smooth operations
  • Collaborate with various departments, including yard, office staff, reload personnel, and customers to meet customer requirements
  • Assist with responding to shipping-related inquiries and escalate issues as required
  • Communicate with the customers and ensure all proof of deliveries are scanned and emailed
  • Relay all completed shipments, information of inbound/outbound received to the administrator
  • Report any discrepancies or gaps in service to the supervisor
  • Assist with investigating missing documents, shipment discrepancies, delivery issues, and inventory concerns, escalating matters to the supervisor when required
  • Work in accordance with all Arrow, safety and other applicable regulatory policies and procedures
  • Provide administrative and operational support related to forecasts, asset tracking, and equipment records
  • Other duties as assigned by the Division Manager
