Position Summary The Servicing Administrative Assistant plays an important role in the organization by performing a number of administrative tasks related to the company’s Customer Service functions. The role is responsible for providing general administrative support to the Customer Service department, including entering data, preparing standard correspondence using templates, scanning and uploading documents, processing mail, preparing check requests as well as performing receptionist and other administrative duties.

Requirements

  • High school diploma or equivalent, required.
  • Minimum one year experience providing general administrative support in a back office financial services environment preferably in mortgage loan processing.
  • Highly organized and detail oriented; ability to work in a fast-paced, deadline-driven environment required.
  • Perform basic internet searches.
  • Excellent verbal and written communication skills required.
  • Highly organized and detail-oriented; ability to work in a fast-paced, metrics-driven environment required.
  • Proficiency in Microsoft Office Suite, Word, Excel, Wiki, collaborative cloud-based programs, and third-party software applications required.

  • Physical: Work is primarily sedentary; mobility in an office setting.
  • Manual Dexterity: Frequent use of computer keyboard and mouse.
  • Audio/Visual: Ability to accurately interpret sounds and associated meanings at a volume consistent with interpersonal conversation. Regularly required to accurately perceive, distinguish and interpret information received visually and through audio; e.g., words, numbers and other data broadcasted aloud/viewed on a screen, as well as print and other media.
  • Environmental: Office environment – moderate noise, no substantial exposure to adverse environmental conditions.

This role requires effective adaptation to workplace stressors, including customer service complaints, security responsibilities, and competing priorities. Must be able to adhere to process protocol. Must be able to apply established protocols in a timely manner.
  • Schedules: Work is primarily performed during the business week, Monday - Friday.

Nice To Haves

  • Spanish bilingual preferred.
  • Prior experience preparing certified mail preferred.
  • 10-key by touch preferred.
  • Prior experience using document retention software; Blitzdoc preferred.

Responsibilities

  • Use templates to respond to emails, faxes, and correspondence for routine issues.
  • Make outbound calls to customers in relation to correspondence.
  • Scan and manage all documents related to Customer Service correspondence (inbound faxes, emails, and mail).
  • Provide copies of loan documents to borrowers, loan officers, etc.
  • Distribute and process mail.
  • Update system with required basic information; g., address and telephone updates from Guild’s website.
  • Provide responsive and courteous service to team and other departments.
  • Provide administrative support to department by processing returned mail, faxing and mailing outbound correspondence, statements, documents, etc.
  • Assist with CalHFA non-occupancy functions; prepare and send documents via certified mail, document status updates in the system, and maintain related spreadsheets.
  • Create daily activity summaries and spreadsheets.
  • Provide backup receptionist coverage as needed, including but not limited to, answering multi-line phones, scheduling meeting rooms.
  • Perform other duties as assigned.
