About The Position

The Service Writer, under direction, receives vehicles and interprets information provided by users in order to diagnose maintenance issues. Requirements

  • High school diploma or GED, or any equivalent combination of education and experience.
  • Four years of related experience in an automotive repair environment (technician, advisor, or related role)
  • Must have a valid driver’s license to operate motor vehicles and a good driving record, or must have the ability to obtain State of Texas class “C” vehicle operator’s license within 30 days of employment.
  • Ability to multitask and work cooperatively with others.
  • Strong interpersonal and organizational skills.
  • Microsoft Office suite.

  • Master Automotive ASE.
  • OEM Certifications.
  • Two years experience with a full-service auto/truck/heavy duty dealership.
  • Working knowledge of vehicle diagnostics, maintenance, and repair procedures.
  • Experience interacting with customers, including explaining services, timelines, and costs.
  • Ability to coordinate effectively between technicians and customers to ensure efficient workflow.

Responsibilities

  • Works with multiple interrelated work teams to determine the priority of tasks and ensure the timely completion of all required maintenance, repair, service, and removal of vehicles.
  • Coordinates with external vendors and dealerships for service and repairs, including warranty and contract-covered work.
  • Manages and tracks manufacturer recalls and coordinate scheduling of vehicles for recall-related services.
  • Provides regular updates to users regarding service progress and obtain approval for additional work when required.
  • Clearly explains completed repairs, next steps, and associated charges.
  • Handles customer questions and complaints professionally to ensure high satisfaction and resolution of concerns.
  • Tracks vehicle maintenance needs and service history to inform replacement recommendations and optimize fleet reliability.
  • Schedules vehicles for routine preventative maintenance, ensuring compliance with internal service intervals and manufacturer recommendations.
  • Coordinates with vendors regarding the repair of vehicles involved in accidents and the upfitting of new vehicles in the absence of fleet leasing personnel.
  • Receives vehicles and interprets user-reported issues to assist in accurate diagnostics.
  • Operates vehicles, when needed, to confirm faults and better understand reported concerns.
  • Identifies and specifies repairs to be completed, estimates time for service, and prepares corresponding work orders.
  • Completes and manages vehicle inspection forms and enters all service data into the fleet management system.
  • Ensures work orders are accurately maintained in the fleet management system.
  • Maintains comprehensive and accurate documentation of all service activities and communications.
  • Assists with general administrative and shop support functions as needed.
  • Employees in this position will be required to drive a state vehicle to travel to various parts of campus and are considered essential when the University declares an emergency, campus closure, class cancellations, etc.
  • Works beyond normal office hours and/or on weekends.
  • Employees are responsible for the following: representing the department to internal and external customers; maintaining 100% on time compliance with all university required training for all employees; approving time worked and requesting appropriate leave in a timely manner; reading and responding to e-mail; reviewing/reading information listed on the department intranet; performing assigned tasks in a safe manner and utilizing personal protective items/equipment as appropriate or instructed by supervisor or department; reporting unsafe actions or conditions to supervisor immediately and supporting and following unit/department safety guidelines, practices and policies.
