About The Position

The Service Writer / Warranty Clerk serves as the communication link between customers, technicians, and management to help ensure all service work is completed accurately, efficiently, and with a high level of customer satisfaction. This position supports the daily operations of the service department through scheduling, repair order management, warranty administration, customer communication, and administrative support.

Requirements

  • Previous customer service, administrative, or office experience.
  • Strong communication and organizational skills.
  • Dependable work history and professional references.
  • Computer proficiency and comfort learning service software systems.
  • Ability to multitask and manage competing priorities in a fast-paced environment.
  • Strong attention to detail and accuracy.

Nice To Haves

  • Experience in agricultural, construction, automotive, or heavy equipment industries.
  • Basic mechanical or agricultural knowledge.
  • Previous warranty administration experience.
  • Experience managing schedules or coordinating service work.

Responsibilities

  • Communicate repair needs, timelines, and updates with customers.
  • Schedule technicians for field and shop work based on workload and priority.
  • Maintain and manage digital service schedules and appointments.
  • Assist customers with billing questions and open service accounts as needed.
  • Open, review, update, and close repair orders accurately and efficiently.
  • Complete and maintain service paperwork for billing, warranty, and reporting purposes.
  • Assist with warranty claim submissions and supporting documentation.
  • Monitor technician time entries and ensure labor is properly documented and billed.
  • Help maintain accurate records within service software systems.
  • Coordinate with the parts department regarding parts orders and repair needs.
  • Prepare and code statements for accounting purposes.
  • Assist with service department administrative functions and reporting.
  • Support additional operational tasks as assigned by management.
