About The Position

The Service Sales Specialist at Encore is responsible for turning technical inspection findings into a clear plan of action for customers. This role involves quoting repair work, explaining the importance of system maintenance, and guiding customers through the process from initial confusion to confident decision-making. The specialist will work efficiently, follow through on commitments, and ensure a smooth experience for customers who rely on Encore for safety.

Requirements

  • 2+ years in inside sales, estimating, or customer service, ideally in a trade, service, or technical environment.
  • Comfort reading inspection reports, service documents, or technical work orders and knowing what questions to ask.
  • Strong verbal communication skills; ability to explain a complicated problem clearly and confidently to someone with no technical background.
  • Highly organized with the ability to juggle a high volume of open quotes, follow-ups, and deadlines without things slipping.
  • Persistence, resilience, and a genuine ease with direct, honest conversations.
  • Proficiency with Microsoft Outlook, Word, and Excel.
  • Mindset to learn new tools quickly.
  • Willingness to self-teach platforms like HubSpot and ServiceTrade as needed.
  • A people-first approach — build trust with customers and internal teams by being prepared, reliable, and easy to work with.

Nice To Haves

  • Experience in life safety, fire protection, or another building services or route-based service business.
  • Ability to manage own workload and hit numbers.
  • Prior experience using HubSpot, ServiceTrade, or similar CRM and service management tools.
  • Experience partnering directly with outside sales, operations, and service teams to support shared revenue goals.
  • Familiarity with NFPA codes or AHJ compliance requirements.
  • Demonstrated ability to get in front of customers, build rapport quickly, and stay top of mind without being pushy.

Responsibilities

  • Review completed inspection reports and identify all deficiencies noted by technicians or inspectors.
  • Generate accurate quotes for repairs, replacements, adds, moves, and changes (MAC) across fire alarm, sprinkler, and suppression systems.
  • Prioritize and clearly communicate deficiency urgency levels, from AHJ-required immediate corrective action to preventive or code-advisory items.
  • Utilize established pricing tools, templates, and approval thresholds to generate quotes quickly using the Service Delivery Platform, ServiceTrade.
  • Contact customers promptly after inspections to discuss findings and recommendations.
  • Translate technical deficiency language into plain terms that customers can understand and act upon.
  • Address questions regarding compliance timelines, system consequences, and repair options.
  • Follow up persistently on open quotes and outstanding approvals using a defined cadence.
  • Maintain a professional, consultative tone in all customer interactions.
  • Manage an active pipeline of open deficiency quotes at various stages of follow-up.
  • Track all activity in the CRM/quoting system and maintain current records.
  • Meet or exceed activity and conversion targets for quote volume, response time, and close rate.
  • Escalate high-priority or time-sensitive compliance situations appropriately and quickly.
