About The Position

Nielsen Mechanical, a Crete United Company, is seeking a proactive and organized Service Sales Coordinator to support our growing commercial HVAC service team. This role serves as the bridge between customers, service technicians, estimators, and sales personnel by helping identify opportunities, coordinate proposals, manage maintenance agreement administration, and ensure a high level of customer service throughout the sales process. This is ideal for someone who enjoys the customer-facing side of HVAC service but may not want a pure outside sales role. It's a blend of sales support, account coordination, customer relationship management, and operational execution.

Requirements

  • 2+ years of experience in sales coordination, service administration, account coordination, or customer success.
  • Strong customer service and relationship-building skills.
  • Excellent written and verbal communication.
  • Highly organized with strong attention to detail.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Proficient with Microsoft Office (Excel, Outlook, Word).

Nice To Haves

  • HVAC, mechanical, construction, facilities, or building services experience preferred.
  • Experience with CRM, ERP, or service management software preferred.
  • Commercial HVAC service industry experience.
  • Experience supporting service sales or account management teams.
  • Familiarity with maintenance agreements, repair proposals, and project coordination.
  • Understanding of mechanical systems and building operations.

Responsibilities

  • Serve as a primary point of contact for service customers and building owners.
  • Respond to customer inquiries regarding maintenance agreements, repairs, and small projects.
  • Assist in preparing service proposals, estimates, and maintenance agreement renewals.
  • Follow up on outstanding quotes and proposals to help improve close rates.
  • Coordinate customer meetings, site visits, and follow-up activities.
  • Maintain customer records, contacts, opportunities, and sales activity within CRM systems.
  • Coordinate proposal development with Service Managers, Estimators, and Project Teams.
  • Track open opportunities and provide regular updates to management.
  • Support maintenance agreement growth through renewals and customer outreach.
  • Assist with identifying cross-selling opportunities including service, controls, retrofits, and capital projects.
  • Create and maintain service agreements and customer contract documentation.
  • Coordinate project turnover and scheduling with service operations teams.
  • Assist with work order creation and job setup as needed.
  • Support billing and closeout processes by ensuring proper documentation is completed.
  • Generate reports on proposal activity, sales pipeline, maintenance agreement renewals, and customer retention metrics.
