About The Position

The Service Operations Coordinator plays a key role in supporting our Fort Lauderdale workshop by managing service work orders, coordinating with technicians, and ensuring financial and operational accuracy. This is a structured, detail-focused position for someone who thrives in a fast-paced service environment and enjoys influencing others, keeping operations organized, and driving efficiency. This position interacts daily with service managers, technicians, customers, accounts receivable, and other internal stakeholders. Candidates with experience in service-driven environments such as automotive service, logistics, freight, field services, or repair centers are strongly encouraged to apply. Spanish proficiency is preferred and helps in daily workflow, yet is not required.

Requirements

  • Associate degree preferred; OR 3+ years experience in a service, logistics, automotive, freight, repair, or operations environment
  • Experience coordinating work orders, service tickets, dispatching, or workflow scheduling
  • Strong customer service orientation and communication skills
  • Proficiency with ERP systems and Microsoft Excel, Word, and Outlook
  • Strong organizational skills with the ability to manage competing priorities
  • Reliable, self-directed, and able to work effectively with minimal supervision
  • Problem-solving skills with the ability to troubleshoot issues and drive resolutions
  • Ability to read or interpret basic technical information (preferred, not required)
  • Spanish speaking preferred (not required)

Nice To Haves

  • Experience in maritime, power generation, diesel engines, or industrial services
  • Experience handling invoicing, billing packages, estimates, or financial reconciliation
  • Exposure to technical documentation or service manuals
  • Familiarity with dispatch, scheduling, or workflow coordination tools

Responsibilities

  • Open, manage, and close Service Work Orders with accuracy and consistent follow-through
  • Review quotes, customer approvals, and purchase orders for clarity and correctness
  • Track technician labor time, travel expenses, job materials, and project details
  • Process invoices within 5 days of job completion and proactively resolve discrepancies
  • Support Accounts Receivable with documentation, clarifications, and customer follow-up
  • Coordinate communication between technicians, service managers, and customers
  • Assist with workshop organization, quality control, and continuous improvement
  • Maintain accurate documentation, files, and data across ERP and reporting systems
  • Support cross-training and staff development within the service operations team
  • Uphold safety, cost management, and customer satisfaction standards
