Requirements

  • 3+ years in operations coordination, service scheduling, or similar role
  • Experience with work order systems or CMMS tools
  • Strong organizational and prioritization skills
  • Ability to manage multiple projects simultaneously
  • Strong communication and stakeholder management
  • Data-driven decision-making
  • Detail-oriented with high accuracy
  • Problem-solving and critical thinking

Nice To Haves

  • Experience in manufacturing, repair, or technical service environments
  • Knowledge of Lean, process improvement, or operations best practices
  • Familiarity with inventory, materials planning, or supply chain coordination

Responsibilities

  • Own intake of internal and external service/repair requests
  • Validate job requirements (specs, materials, timelines)
  • Create, prioritize, and release work orders
  • Build and maintain daily and weekly service schedules
  • Align workload with technician and engineer capacity
  • Identify bottlenecks and adjust schedules accordingly
  • Track service jobs from intake through completion
  • Manage timelines, milestones, and dependencies
  • Communicate updates and escalate risks as needed
  • Coordinate ordering of parts and materials for service jobs
  • Track parts availability and ensure timely delivery
  • Partner with supply chain and inventory teams to prevent shortages
  • Maintain tracking systems (e.g., Limble)
  • Monitor and report KPIs such as OTD, TAT, and backlog
  • Support root cause analysis and trend identification
  • Develop and maintain SOPs
  • Identify inefficiencies and implement Lean improvements
  • Standardize workflows and intake processes
  • Partner with Customer Service, Production, QA, Engineering, and Shipping
  • Ensure alignment on priorities, timelines, and issue resolution
