Requirements

  • High School Diploma or equivalent
  • Proficient in various desktop tools including MS Office Programs (i.e. Outlook, Excel, Word, PowerPoint, Project, Visio, SharePoint etc.)
  • Familiarity with office technology and equipment, including computers, fax machines, scanners, printers, phone systems, etc.
  • 1-3 years’ experience in administrative services or related fields
  • Prior experience in a customer-facing role; experience handling customer concerns or complaints with professionalism and empathy
  • Knowledge of work processes and tools is generally limited to own area of responsibility
  • Understanding of accounting principles and bookkeeping software may be required

  • Additional education, certifications, or experience are a plus

Responsibilities

  • Greet customers warmly and promptly upon their arrival at the dealership's service department.
  • Ensure all customers feel welcomed and valued.
  • Present in a professional and approachable manner, as first point of contact for customers.
  • Initiate friendly conversations with customers to determine the purpose of their visit and understand their needs or concerns regarding their vehicle's service requirements.
  • Use active listening skills to assess customers' needs and direct them to the appropriate service advisor or department within the dealership, guiding customers to the right area for scheduled service appointments or other inquiries.
  • Efficiently manage the check-in process for customers with scheduled service appointments.
  • Possess a comprehensive understanding of the dealership's layout, departments, and personnel to effectively guide customers to their desired destination within the facility.
  • Provide support to service advisors by performing various administrative tasks
  • Strive to exceed customer expectations by providing exceptional service at every interaction.
  • Address customer inquiries and concerns promptly and professionally, ensuring a positive experience throughout their dealership visit.
  • Keep the service reception area tidy and organized to create a pleasant environment for customers.
  • Collaborate effectively with other dealership staff members to ensure seamless coordination of customer service efforts and maintain a cohesive work environment.
