The Service Coordinator role supports the day-to-day administrative and operational activities of the Service department, reporting to the Service Manager. This role is responsible for coordinating service work, scheduling technicians, and ensuring work orders, parts, and resources are managed efficiently. As a key point of contact between customers, technicians, and internal teams, the Service Coordinator helps ensure safe, timely, and high-quality service delivery while maintaining strong customer satisfaction.

Requirements

  • 2+ years of experience in service coordination, dispatch, administration, or a similar role
  • Strong organizational and time-management skills with the ability to manage multiple priorities
  • Excellent communication and customer service skills
  • High attention to detail and accuracy in documentation
  • A proactive, team-oriented mindset with strong problem-solving abilities

Nice To Haves

  • Proficiency in Microsoft Office
  • Experience with ERP or service management systems
  • Experience in propane, energy, HVAC, or field service environments

Responsibilities

  • Coordinate and schedule service calls, installations, and maintenance activities
  • Assign and manage work orders, ensuring accuracy and timely completion
  • Communicate schedules, updates, and service timelines with customers and technicians
  • Monitor job progress and follow up on outstanding work
  • Support parts and inventory coordination to ensure technicians have required materials
  • Maintain accurate service documentation and records
  • Assist with reporting, service metrics, and continuous improvement initiatives
  • Provide administrative and operational support to the Service team
