About The Position

The Service Clerk is responsible for maintaining accurate and on-time reports and records related to the service department's operations within the dealership. This role ensures all charges for work orders are posted correctly and that work orders are closed in a timely manner. The Service Clerk must also maintain a professional demeanor with customers and employees, promoting a positive company image.

Requirements

  • High school diploma or GED equivalent.
  • Ability to use standard computer software applications such as Microsoft Office (Word, Excel, etc.) and internet functions.
  • Good human relations and effective oral and written communication skills.
  • Basic understanding of financial principles relative to Service Department operations.

Responsibilities

  • Review and edit technician time from the previous workday each morning.
  • Post outside labor, outside materials, and mileage charges to work orders.
  • Open work orders as directed by the Service Manager/Shop Foreman and manage them until closed and invoiced.
  • Review work orders for accuracy (customer/stock number, equipment details, meter reading, job code, labor, parts, miscellaneous codes, etc.) before invoicing.
  • Invoice retail and internal work orders promptly.
  • Review the Work In Progress (WIP) Report weekly for any work orders older than two weeks.
  • Review warranty work orders and job codes for necessary and correct warranty information.
  • Submit warranty job codes to John Deere, other short lines, or Central Billing within 2 business days of technician completion.
  • Review the warranty report for outstanding claims (John Deere older than one week, other lines older than three weeks).
  • Handle service department filing and records, completing invoice filing weekly.
  • Update customer profiles with information from customer work orders.
  • Review monthly work orders (Tools, Shop Supplies, Service Accessories, Training) for accuracy before the last business day of the month.
  • Assist corporate staff by providing requested information promptly.
  • Complete administrative duties such as answering phones, copying, scanning, filing, and cleaning.
  • Perform other duties as assigned by supervisor.
