About The Position

The Service Assistant provides reception and administrative support. Responsibilities include screening and registering clients, scheduling appointments, supporting program marketing and outreach, managing payment requisitions, maintaining inventory and database records, and assisting with events and workshop coordination. This role serves as the first point of contact for clients and external partners, ensuring smooth and efficient program operations.

Requirements

  • Completion of a certificate or diploma in office administration, business or related discipline and a minimum of one (1) year of related experience preferably in a related social service field; OR an equivalent combination of education, training and experience.
  • Ability to communicate effectively in both written and oral English.
  • Demonstrated cultural competency and commitment to working effectively with diverse populations
  • Demonstrated ability to manage time and resources effectively.
  • Ability to set and maintain boundaries with clients and manage self-care.
  • Service-oriented with a demonstrated willingness to help the department and the organization achieve desired objectives and targets.
  • Possession of and the ability to maintain a clear provincial criminal record check.

Nice To Haves

  • Fluency in a second language is an asset, especially Farsi, Dari or Pashto.

Responsibilities

  • Perform reception and clerical duties for employment services in assigned location. Provide reception coverage at other locations as needed.
  • Serve as the first point of contact for clients accessing services through various channels (email, walk-ins, MS Forms, and database referrals).
  • Conduct eligibility screening and refer clients to Case Managers or external services when appropriate.
  • Register eligible clients for program information sessions and assist with stream determination.
  • Input and maintain client and program information in ISSofBC’s database. Ensure records are updated as required and generate reports to support program monitoring and evaluation.
  • Provide clients and internal contacts with details about available services. If ISSofBC does not offer a requested service, refer individuals to appropriate external agencies while maintaining up-to-date knowledge of community resources.
  • Maintain records of pre-employment, job search, specialized workshops, networking events, mentorship programs, and industry-specific sessions.
  • Prepare and distribute a monthly events calendar on ISSofBC’s website, e-newsletter, and partner platforms (e.g., NEW to BC, libraries).
  • Prepare purchase orders and payment requisitions for manager approval, ensuring all supporting documentation is provided. Submit approved requisitions to Finance in a timely manner following established procedures.
  • Manage the purchase, distribution, and tracking of transit tickets provided by Case Managers, Employment Facilitators, and Employer Relations Specialists.
  • Arrange interpretation and childminding services with contracted vendors as needed.
  • Address minor technical issues related to office equipment. If unable to resolve, escalate to the manager or appropriate department for further support.
  • Coordinate meetings, including scheduling, facility booking, set-up of audio-visual equipment, and catering arrangements. Provide logistical support for program events and workshops.
  • Support additional administrative or program-related tasks as required.
