About The Position

Rapid7 is seeking a Senior Workplace Facilities Coordinator to ensure our Boston HQ operates at peak performance while delivering an exceptional workplace experience. In this dynamic role, you will manage day-to-day facilities operations, lead key site vendors, and foster strong cross-functional partnerships to create a safe, seamless, and engaging environment for our Moose and visitors. The Global Real Estate & Workplace Experience team shapes the physical and operational environments that empower Rapid7 employees to do their best work. As a Senior Workplace Facilities Coordinator, your primary responsibility will be to independently manage and optimize comprehensive facilities operations at our Boston Office HQ. Specifically, your focus will be to: Manage operational relationships with building management, janitorial, security, and facility vendors to ensure high service standards. Oversee workplace applications including desk booking, visitor management, service tickets, and physical security systems. Execute facilities protocols covering preventive maintenance, repairs, life safety, environmental health and safety (EH&S), and regulatory compliance. Direct the Boston HQ food & beverage program to deliver quality offerings while maintaining fiscal discipline. Provide hands-on coordination for onsite events, bringing high energy and alignment to Rapid7 culture. Partner with local leadership and cross-functional teams to ensure workplace environments directly support business goals. Coordinate space planning, occupancy tracking, and moves-adds-changes (MAC) to optimize team alignment and building performance. Oversee the local operational expenditure budget, managing utilities, CAM, repairs, and site service expenses responsibly.

Requirements

  • 3–5 years of progressive experience in workplace operations, facilities management, or corporate services within a corporate environment.
  • Technical knowledge of Building Management Systems (BMS), MEP infrastructure, and vendor management principles.
  • Ability to communicate with clarity, intent, and impact across written and verbal platforms to foster alignment and engagement.
  • Ability to drive cross-functional collaboration to build strong internal networks and deliver sustainable workplace improvements.
  • Strong analytical capability using occupancy and operational data to inform decisions and solve complex issues.
  • Ability to navigate change and ambiguity proactively, taking full ownership of operational challenges and implementing structured solutions.
  • Strong accountability and attention to detail while prioritizing multiple operational tasks efficiently.
  • Familiarity with tools such as OfficeSpace, Brivo, or Google Workspace to optimize office processes.
  • Self-awareness to adapt effectively to shifting group dynamics and maintain an approachable, service-oriented mindset.
