About The Position

Raymond James Independent Financial Services is seeking a Senior Wealth Advisor Assistant to work in our Downtown Toronto Office. The Bowes Wealth Management team delivers discretionary and non-discretionary portfolio management with integrated cross-border expertise, including the management of U.S. retirement plans for Canada–U.S. clients. As a high-performing, multi-advisor team based in Toronto’s Queens Quay, we serve high-net-worth families, business owners, and institutional relationships with disciplined, goals-based wealth management. This is a hybrid position, with 4 days a week in-office. We are seeking an experienced, proactive, and highly organized individual to join our wealth management branch. This is a senior team administrator and operational role supporting our Financial Advisors and Portfolio Managers, and leading our administrative staff, and the broader branch team. The successful candidate will be a "go-to" resource within the branch, helping ensure day-to-day operations run smoothly, client service is delivered at a high standard, and key branch processes are completed accurately and on time. This role is ideal for someone with strong investment industry experience who enjoys solving problems, improving processes, supporting others, and taking initiative without waiting to be assigned tasks. The focus is on senior-level administration, client service, marketing, branch operations, process leadership, management of the administration team and advisor/team support.

Requirements

  • Minimum of 4 years of experience in the investment brokerage, wealth management, or financial services industry.
  • Degree, or equivalent combination of education, training, and experience.
  • Successful completion of industry licensing, such as: Canadian Securities Course CSC, Investment Representative or Registered Representative CIRO licensing.
  • Strong knowledge of administrative processes related to account opening, client documentation, KYC, transfers, cheques, and branch operations.
  • Experience supporting Financial Advisors, Portfolio Managers, Investment Associates, or wealth management teams.
  • Strong Microsoft Office skills, especially Outlook, Word, Excel, PowerPoint, and mail merges.
  • Comfort with approved social media, email marketing, and event coordination tools.

Nice To Haves

  • Experience with Dataphile and Raymond James systems is preferred.
  • Raymond James systems experience is preferred.

Responsibilities

  • Act as a senior administrative resource for Financial Advisors, Portfolio Managers, Investment Associates, branch administrators, and assistants.
  • Support the branch team with day-to-day operational and administrative needs.
  • Help coordinate workflows, improve processes, and ensure branch tasks are completed efficiently and accurately.
  • Serve as a key point of contact for internal administrative questions and escalations.
  • Support the Branch Manager and senior team members with administrative priorities as required.
  • Provide professional, friendly, and client-focused service by phone, email, and in person.
  • Greet clients and visitors in a polished and professional manner.
  • Schedule and confirm client meetings, manage Outlook calendars, CRM, and assist with meeting preparation and follow-up.
  • Support new account opening, account updates, KYC documentation, transfers, and related paperwork.
  • Ensure documentation is accurate, complete, and compliant with internal and regulatory requirements.
  • Process and deposit cheques and assist with other cash-management-related administrative tasks.
  • Coordinate with internal departments to resolve operational issues and follow up on outstanding items.
  • Act as a lead administrative resource during tax season, including coordinating tax-related documentation, client requests, and follow-up items.
  • Use Dataphile confidently.
  • Maintain and update CRM records, client notes, contact information, activities, and follow-up tasks.
  • Use Microsoft Outlook extensively, including calendars, scheduling, email management, mail merges, and client communications.
  • Demonstrate comfort learning and using technology to improve team efficiency.
  • Organize and support client events, seminars, branch events, and related follow-up activities.
  • Coordinate event logistics, invitations, approvals, attendance tracking, materials, and post-event follow-up.
  • Attend occasional client events outside regular business hours as required.
  • Assist with approved marketing initiatives, email campaigns, social media coordination, and client communications.
  • Support the team in maintaining a professional and consistent client experience across all touchpoints.
