About The Position

The Crosby Company of New Hampshire is a single-family office dedicated to the long-term stewardship, management, and preservation of family assets. The Crosby Company of New Hampshire provides administrative and advisory services including investment, finance, technology, risk management, human resources, compliance, curatorial, and trust oversight services to various family office entities. The Senior Trust Analyst plays a key role in supporting the administration of partnership accounts and management of farm operations, working closely with Trust Advisors, Trust Officers, and the Farm Manager to ensure effective oversight of farm accounts and related activity. This position is responsible for coordinating financial and operational activities, maintaining accurate records, processing a high volume of transactions, supporting Accounts Payable administration, and ensuring compliance with business policies, procedures, and legal and regulatory requirements. Successful candidates will have a strong understanding of financial operations, transaction processing, vendor coordination, and farm-related administrative support. This role requires exceptional attention to detail, strong organizational, communication, and analytical skills, and the ability to multitask and manage competing priorities in a fast-paced environment while maintaining accuracy, operational efficiency, and a high level of client service.

Requirements

  • Associate’s degree or equivalent with concentration in Accounting or Finance preferred
  • 5+ years’ experience in an accounting or transactional processing role
  • Prior experience with Accounting Software (ATWeb preferred but not required) and Microsoft Office Applications in particular Microsoft Excel
  • Understanding clients, LLCs, trusts, partnerships, estate administration principles and practices
  • Familiarity with legal regulations governing trust and entity management
  • Proficiency in record-keeping and transaction reporting
  • Knowledge of vendor management and account setup procedures
  • Ability to analyze and process high volume of transactions with attention to detail
  • Effective organization to manage transaction deadlines and ensure timely processing
  • Strong communication skills to liaise with team members, internal partners, vendors and clients
  • Possess a strong focus on accuracy when processing and reviewing documentation
  • Ability to lead meetings and collaborate with cross functional teams and internal stakeholders
  • Capability to adapt to changes in procedures, systems, and regulations
  • Vigilance in identifying potentially suspicious transaction activities and reporting them appropriately
  • Proficiency in Microsoft Office suite

Responsibilities

  • Provide general transaction processing and administration of partnership and other business entities (Farm-related) accounts.
  • Prepare and review Farm-related transaction reports, expense analysis, and recurring payment activity on a weekly, monthly, quarterly, and annual basis.
  • Coordinate with the Farm Manager, Farm employees, internal business partners, team members, and vendors to research inquiries, support invoice approvals, and obtain required documentation for Farm-related transactions.
  • Analyze, review, and process a large volume of disbursement transactions with key emphasis on client service, dates and deadlines for transactions such as general expenses, payroll, foreign exchange, asset purchases, etc.
  • Prepare and distribute monthly boarding invoices while performing accounts receivable reconciliations to ensure accurate billing, collections, and financial recordkeeping.
  • Reconcile show sheet activity and winnings, research and resolve discrepancies, and maintain accurate supporting documentation for reporting purposes.
  • Ensure and verify that all single and adhoc transactions are processed in alignment with business policies and procedures.
  • Communicate with team members, internal business partners and vendors to research questions and obtain appropriate invoice approvals and supporting documentation.
  • Monitor recurring expenses and Trust Group’s email inbox to ensure timely processing of key transactions.
  • Ensure accounts have sufficient funding for anticipated disbursement.
  • Quantify disbursement requirements such as tracking and monitoring operating expenses and spending against approved budgets.
  • Establish new vendors and client accounts as directed.
  • Prepare client and other stakeholder expense reports for accuracy and completeness.
  • Perform periodic testing of new system builds prior to integration.
  • Ensure that all documented team policies and procedures are kept current.
  • Perform month end review of transaction discrepancies and resolutions while meeting required deadlines.
  • Provide back-up coverage for other team members while out of offices.
  • During the normal day to day operation, be responsible for identifying any unusual or potentially suspicious transaction activity and report and/or escalate.
