Overview Vantaca is seeking a Senior Strategic Events Specialist to join our growing Marketing team and help elevate our event portfolio to the next level. This role will be a key driver in executing high-impact events that build brand awareness, generate revenue, and strengthen relationships with customers, partners, and prospects. You'll own and lead planning for our regional Vantaca-hosted event series, co-lead our presence at CAI National and other flagship conferences and tradeshows, and play a major role in delivering an exceptional experience at Vantaca Vision, our annual user conference. You'll work cross-functionally with Sales, Customer Success, Product, and Executive teams to ensure every event drives measurable business impact. This is a hands-on, fast-paced role ideal for an experienced event professional who thrives on creativity, logistics excellence, and bringing a brand to life through memorable experiences

Requirements

  • Bachelor's degree in Marketing, Communications, Hospitality, Event Management, or related field.
  • 3-5 years of corporate event planning or field marketing experience, preferably in B2B or SaaS industries.
  • Proven experience managing multiple events simultaneously, from concept through execution and reporting.
  • Strong project management skills with keen attention to detail, organization, and timelines.
  • Excellent interpersonal and communication skills; comfortable interacting with executives, customers, and vendors.
  • Creative problem-solver who thrives in a fast-paced environment and can adapt to changing priorities.
  • Experience working with event management software (CVENT preferred) and CRM tools (Salesforce or HubSpot a plus).
  • Ability to manage budgets, negotiate contracts, and analyze ROI metrics.
  • Collaborative, self-motivated, and eager to bring new ideas that elevate the Vantaca brand.
  • Willingness to travel up on average 10 times per year for regional and national events.

Responsibilities

  • Lead end-to-end planning and execution for Vantaca's regional event series, including venue sourcing, contract management, budgeting, logistics, agenda planning, and onsite delivery.
  • Co-lead Vantaca Vision and CAI National planning alongside the Events Manager, including vendor coordination, production timelines, content alignment, and post-event ROI reporting.
  • Partner closely with Sales and Marketing leadership to design event experiences that drive pipeline growth, customer retention, and sponsorship ROI.
  • Manage timelines, budgets, and vendor relationships across multiple concurrent events, ensuring flawless execution and on-brand experiences.
  • Support development and rollout of CVENT and other event technology tools for registration, communications, and reporting.
  • Collaborate with the Marketing team on pre- and post-event campaigns, content, and data capture to ensure lead generation and follow-up success.
  • Support internal milestone events and assist with strategic partner activations throughout the year.
  • Travel onsite to manage and execute events (approximately 25-30% travel).
  • Provide mentorship and guidance to junior team members to foster professional growth and strong collaboration across the Events team.
